Job summary

Northwestern Medicine is seeking a Program Coordinator to support Provider Operations in onboarding and lifecycles for physicians, APPs, and allied health providers. The role emphasizes process improvement, data analysis, and project planning to advance onboarding efforts.

Hybrid work setup allows two days in the downtown office and three days working from home, with occasional in-person visits to other hospital locations.

Qualifications

• Bachelor’s degree or 4 years directly relevant experience
• Strong knowledge of Microsoft Office

Responsibilities

• Collaborates with system functions to communicate onboarding needs of new physicians and providers to ensure onboarding timelines are achieved.
• Assists in preparing reports to demonstrate the effectiveness of Provider Operations initiatives by collecting, analyzing and summarizing data trends.
• Act as a change agent, championing a positive and thorough provider experience, by supporting project teams through process improvement initiatives.
• Evaluate the provider onboarding process and make recommendations for improvements.
• Exemplifies excellent customer relations in interactions with providers and employees, and serves as a coach to leadership, teams, and individuals providing direction on best practices in onboarding.
• Coordinates the New Physician Orientation Program by handling administrative details, registration, and preparation of onsite materials and executes appropriate follow-up to ensure a smooth orientation and integration process for new physicians.
• Communicates effective, demonstrate strong creative problem-solving and conflict management skills. Keeps appropriate administrators/directors informed of issues, and regularly monitors their solutions.
• Seeks out new ideas and best practices in provider onboarding and incorporates them into the organization’s onboarding efforts.
• Collaborates with leadership to ensure onboarding resources are continually updated including forms, websites, and other department materials.
• Performs various administrative support functions which require proactive coordination, management and communication; multi-task in a fast-paced environment with changing priorities.
• Participate in system-wide training efforts on improvement methods.
• Performs other duties as assigned
