Job summary

HEAPY is seeking a Proposal Coordinator in Columbus, OH to transform technical information into compelling client-focused proposals and marketing materials. You will partner with technical experts and the marketing team to craft qualifications packages and submissions that showcase HEAPY’s innovation and client value.

You will lead coordination, write and edit content, manage branding standards, and continuously improve proposal tools and processes to drive successful business development

Qualifications

• 2-year degree or equivalent plus 2–4 years in proposal coordination, marketing, or administrative roles in AEC industry preferred.
• Develops compliant, brand-aligned proposals and marketing materials by coordinating internal resources and timelines.
• Collaborates across technical and marketing teams to ensure timely, high-quality submissions reflecting HEAPY values.
• Maintains content libraries, tools, and processes to improve efficiency and consistency.
• Proficiency in MS Office and Adobe InDesign; familiarity with CRM and collaborative platforms is a plus.
• Strong writing, proofreading, formatting, and editing skills; able to manage deadlines and inputs from multiple stakeholders.

Responsibilities

• Coordinates proposals, qualifications packages, presentations, and marketing collateral.
• Gathers, edits, and synthesizes content with technical teams for compelling pursuit responses.
• Applies branding, templates, and standards to ensure consistency and quality.
• Maintains resume, project, and boilerplate databases for reuse.
• Supports proposal kickoffs, schedules, internal deadlines, and progress tracking.
• Provides writing and layout support to enhance readability and visual impact.
• Supports client-facing deliverables and opportunities, and drives content improvement.
• Engages in professional development and knowledge sharing; supports HEAPY culture.
