Job summary

HEAPY is seeking a Proposal Coordinator in Cincinnati, OH to lead and coordinate proposals, qualifications packages, and marketing materials. You will work with technical teams and marketing to craft client-focused content that reflects HEAPY’s brand and quality standards.

The role emphasizes writing, editing, and project management, contributing to a collaborative, colleague-owned culture. On-site position with growth opportunities in a 100% employee-owned firm.

Qualifications

• 2-year degree in Marketing, Communications, English, Journalism, Business, or related field; or an equivalent combination of education, experience, and/or 4-year degree in related discipline.
• 2–4 years of relevant experience in proposal coordination, marketing, or administrative roles within the AEC industry preferred.
• Develops and delivers compelling, compliant, and brand-aligned proposals by coordinating internal resources, timelines, and messaging.
• Fosters collaboration across technical and marketing teams to ensure timely submissions reflecting HEAPY’s values.

Responsibilities

• Coordinates and produces proposals, qualifications packages, presentations, and other marketing collateral that align with HEAPY’s brand and business development goals.
• Collaborates with technical teams, marketing, and business development to gather, edit, and synthesize content for pursuit responses.
• Applies branding standards to ensure consistency across deliverables.
• Maintains resume, project, and boilerplate databases for reuse.
• Participates in project planning, proposal kickoffs, and internal deadlines; tracks inputs to keep progress on target.
• Provides writing, proofreading, formatting, and layout support to enhance readability and impact.
• Supports client-facing deliverables and presentations to position HEAPY’s value.
• Engages in content/tools/process improvements to strengthen market presence.
