Job summary

HEAPY is seeking a Proposal Coordinator in Dayton, OH to transform technical information into compelling proposals and marketing materials. You will partner with technical experts and the marketing team to develop client-focused content, qualifications packages, and polished submittals that reflect HEAPY’s values and capabilities.

You will collaborate across teams, manage timelines, and contribute to a strong proposal library.

Qualifications

• 2-year degree in Marketing, Communications, English, Journalism, Business, or related field; or equivalent combination. 2–4 years in proposal coordination, marketing, or admin in AEC preferred.
• Develops and delivers compliant, brand-aligned proposals and marketing materials.
• Fosters collaboration across technical and marketing teams for timely, high-quality submissions.
• Maintains and enhances content libraries, tools, and processes for efficiency and accuracy.
• Proficiency in MS Office and Adobe Creative Cloud; InDesign strongly preferred; CRM familiarity a plus.

Responsibilities

• Coordinates proposals, qualifications packages, presentations, and marketing collateral that align with HEAPY’s brand and business goals.
• Collaborates with technical, marketing, and business development teams to gather, edit, and synthesize content for pursuit responses.
• Applies branding standards and templates to ensure consistency across deliverables.
• Maintains resumes, projects, and boilerplate databases for accurate reuse.
• Supports proposal kickoffs, schedules, and internal deadlines; tracks inputs and follows up to stay on target.
• Provides writing, proofreading, formatting, and layout support to enhance readability and visual impact.
• Supports client-facing deliverables and presentations to position HEAPY’s value.
• Contributes to continuous improvement of proposal tools, content, and processes.
