Property Services Coordinator

A resident reports a problem. A maintenance employee needs the unit details. A provider needs access information, and the property manager wants to know whether the issue is resolved. The Property Services Coordinator helps those people work from the same facts. This is an office-based position connected closely to the daily operation of a property.

Full-time · $28.50-$33.50 per hour

From report to resolution

You will receive service requests, confirm the location and useful details, and log them in the property system. You may coordinate an appointment using approved access procedures, provide the resident with a factual status update, and follow up when work remains open. A completed visit is not always a completed repair. If the resident reports the issue is still present, record that and bring it to the person responsible for the next action.

Some matters require prompt escalation under the employer's procedures. You will learn how those requests are identified and who should receive them. You are not expected to diagnose building systems, authorize major repairs, or make tenancy decisions. Good coordination depends on knowing the boundary of your role and giving the decision-maker enough information to act.

Several residents may report related symptoms from different units. You should record each report accurately and alert the property manager to a possible pattern without deciding its cause. When access is needed, confirm the applicable notice and entry procedure before scheduling anyone. If a provider cannot complete a repair, note what prevented completion and whether another appointment or approval is required. The record should help the manager see the next decision and help the resident receive a useful update, rather than a vague message that someone has been contacted.

You may also help maintain a calendar of scheduled maintenance or inspections so residents and service providers receive the correct practical information. These records are most useful when the status changes are entered promptly and the next owner is identified.

Communication and records

A request should show what was reported, when it came in, who was contacted, what appointment or response was arranged, and what is pending. A resident should hear what you can verify, without an unconfirmed promise about a contractor's arrival. Maintenance colleagues should receive access instructions and a clear description of the problem. These ordinary details prevent avoidable return visits and frustration.

You may also prepare notices using approved wording, update contact details, and maintain property office files. Office administration and customer service experience are useful foundations. Property experience is an asset, but applicants from reception, dispatch, or another coordination role may have the right habits. The employer will teach its property system and procedures. Careful writing, discretion with resident information, and consistent follow-through matter from the start.

This is a role for someone who likes resolving the confusion around a request. You may not repair the leaking tap yourself, but you can make sure the technician knows where the problem is, the resident knows the next step, and the manager can see an accurate status. Several requests may be active at once, so a reliable method for tracking what is waiting on others is important.

A coordinator may also notice that several requests concern the same area of a building. Record each resident's report separately and tell the manager about the pattern, without claiming to know the technical cause. That distinction keeps individual residents informed while giving maintenance staff a clearer picture. The position calls for careful listening as well as a system for tracking dates and follow-up.
