Job summary

The Maintenance Coordinator at Megan Properties Management coordinates and supports daily maintenance operations across multiple residential properties. You will act as a central point of communication among the Maintenance Director, Property Managers, technicians, vendors, and residents to ensure maintenance requests and work orders are managed efficiently and cost-effectively.

  • Proficient with email, Microsoft Office, spreadsheets, and property management/work-order software.

Responsibilities

  • Monitor and coordinate maintenance work orders for assigned properties.
  • Review incoming work orders and prioritize requests based on urgency, resident needs, property requirements, and procedures.
  • Communicate with Property Managers and Maintenance Technicians regarding maintenance concerns.
  • Monitor open orders and follow up to ensure timely completion.
  • Verify completed work orders contain notes, materials used, and completion information.
  • Escalate emergencies or unresolved maintenance concerns to the Maintenance Director and appropriate department.
  • Maintain professional communication with Property Managers, Maintenance Technicians, residents, vendors, supervisors, and other personnel.
  • Respond to maintenance-related questions and requests or direct them to the appropriate person.
  • Communicate delays, changes in schedules, emergencies, and unresolved issues promptly.
  • Maintain confidentiality regarding resident, employee, vendor, and Company information.
  • Promote professional communication among maintenance and property management teams.
  • Maintain organized electronic and physical maintenance files.
  • Prepare reports, spreadsheets, schedules, and correspondence as requested.

POSITION SUMMARY

The Maintenance Coordinator is responsible for coordinating and supporting the day-to-day maintenance director of the Company’s residential properties. This position serves as a central point of communication between Maintenance Director, Property Managers, Maintenance Technicians, vendors, residents to ensure maintenance requests, work orders, preventive maintenance, inspections, and property maintenance needs are addressed in a timely, organized, and cost-effective manner.

The Maintenance Coordinator will assist in maintaining accurate records, scheduling maintenance activities, coordinating vendors, monitoring work orders, tracking materials and expenses, and ensuring maintenance activities are properly documented.

The position requires strong organizational skills, attention to detail, effective communication, follow-through, and the ability to manage multiple properties and competing priorities.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
  • Monitor and coordinate maintenance work orders for assigned properties.
  • Review incoming work orders and prioritize requests based on urgency, resident needs, property requirements, and applicable Company procedures.
  • Communicate with Property Managers and Maintenance Technicians regarding outstanding work orders and maintenance concerns.

QUALIFICATIONS:
  • High school diploma or equivalent.
  • Previous experience in property management, apartment maintenance, facilities coordination, construction, or a related field preferred.
  • Strong organizational and time-management skills.
  • Excellent verbal and written communication skills.
  • Ability to prioritize multiple assignments and meet deadlines.
  • Strong attention to detail and follow-through.
  • Ability to work independently while also working effectively with a team.
  • Basic computer skills and proficiency with email, Microsoft Office, spreadsheets, and property management/work-order software.
  • Ability to communicate professionally with employees, residents, vendors, and management.
