Job summary

New Reach Inc in Connecticut seeks a Property Coordinator to manage daily operations of agency buildings and oversee property projects, reporting to the Director of Operations. The role emphasizes responsive tenant relations, maintenance oversight, and documentation in N-Drive systems.

Primary Purpose:

The primary duties of the Property Coordinator are to manage the day‑to‑day operations of agency buildings and properties, the business‑as‑usual functions of managing the properties on a routine and cadenced basis, as well as individual projects on an as‑needed basis. The property manager will oversee the overall management and coordination of agency properties, while responding to tenant‑based issues and offering necessary support. This position will work in tandem with the Facilities Lead and Shelter Operations Manager while reporting to the Director of Operations.

Requirements
Essential Functions:
  • Maintain asset, inspection and property maintenance files.
  • Responsible for management systems for efficient property maintenance.
  • Creates and maintains positive relationships with tenants and maintains agency customer service.
  • Responsible for contact with tenants and will communicate clearly and in a timely manner to all tenant questions, concerns and requests.
  • Responsible for tenant correspondence and notifications including planned maintenance, vendors onsite, inspections, remediations, and lease violations.
  • Work with the Facilities Lead and case management to coordinate tenant moves ensuring a smooth transition and appropriate documentation is completed.
  • Responsible for and must be available for 24/7 on‑call responsibilities.
  • Responsible for tenant service requests and/or maintenance issues to ensure problems are responded to in a timely manner, promptly resolved, and billed back to the tenant when applicable.
  • Maintain lease, tenant and vendor documents for the N‑Drive and proprietary files.
  • Responsible for managing relationships, including scheduling services and conducting walks to ensure compliance with their contracts.
  • Conducting routine site inspections as necessary.
  • Maintain organized and detailed records and workflow.
  • Maintain all property licenses and update as needed in a timely and accurate manner.
  • Work with the Facilities Lead to coordinate property turnover and vacancies.
  • Act as point of contact for tenants and address tenant complaints, violations, and problems.
  • Maintain healthy relationships with neighboring property owners and tenants.
  • Other duties as assigned.
Qualifications:
  • Bachelor's degree is highly preferred; equivalent work experience in property management will be considered.
  • Minimum of 2 years of experience in property management.
  • Must have a current CT driver's license and the ability to maintain a current license.
  • Highly proficient in Microsoft Office, Excel, Yardi preferred.
  • Proven ability to comply with operational policies and procedures, codes, and regulations.
  • Must be able to read, write, and speak fluent English, Spanish is a plus.
  • Exceptional organizational, problem‑solving, and interpersonal skills.
  • Strong familiarity and working knowledge of affordable housing laws and anti‑discrimination legislation preferred.
