Job summary

Beacon Hill is seeking a detail-oriented Property Administrator to support the day-to-day operations of a commercial property management team. This onsite, full-time role offers a pay rate of $21-$25/hr with standard Monday–Friday hours.

You will assist with lease administration, tenant communications, invoicing, reporting, and vendor coordination while maintaining efficient property operations and strong tenant relations.

Qualifications

  • High school diploma or GED required.
  • Associate or Bachelor's degree preferred.
  • Prior administrative, customer service, or office support experience preferred.
  • Strong written and verbal communication skills.
  • Excellent organizational and time management abilities.
  • Ability to multitask and prioritize competing deadlines.
  • Professional demeanor with strong interpersonal skills.
  • Ability to maintain confidentiality and work with internal/external stakeholders.
  • Proficiency with standard office technology and equipment.

Responsibilities

  • Provide comprehensive administrative support including correspondence, filing, report preparation, and phone coverage.
  • Schedule and coordinate meetings, appointments, and special events.
  • Assist with lease administration, tenant records, insurance documentation, and reporting activities.
  • Prepare bid packages, service agreements, and vendor-related documentation.
  • Process, code, and track invoices for approval and payment.
  • Maintain contract files, lease records, and property management documentation.
  • Monitor certificates of insurance and track renewal and expiration dates.
  • Support contract administration and ensure accurate data entry into property management systems.
  • Manage and maintain purchase order records and vendor files.
  • Monitor property maintenance work orders and prepare status reports.
  • Respond to tenant inquiries and help maintain positive tenant relationships.
  • Track service requests and support issue resolution efforts.
  • Assist with monthly and quarterly reporting, budgeting, and financial documentation.
  • Process staff timesheets, expense reports, tenant bill-back invoices, meter readings, and payment requests.
  • Coordinate office supply inventory and administrative office operations.
