We are partnering with a client seeking a Property Administrative Assistant to support tenant relations, building operations, and overall compliance for a commercial property. This role is ideal for someone who thrives in a professional environment and enjoys supporting both tenants and internal operations teams.
Key Responsibilities
- Provide comprehensive administrative support, including phone coverage, report preparation, filing, and correspondence.
- Build strong relationships with tenants and owners; respond promptly to facility and tenant service requests.
- Process invoices, expense reports, and property checks; manage FedEx and Stamps.com accounts.
- Assist with lease administration, including tenant contacts, rent rolls, COIs, and occupancy permits.
- Coordinate meetings, events, and emergency planning efforts; maintain compliance documentation.
- Track vendor services and contracts (HVAC, elevator, landscaping, fire inspections) and maintain the property calendar.
- Prepare tenant invoices and support CAM reconciliation efforts; assist with rent collection.
- Manage office and building supplies, signage, parking plans, and building keys.
- Serve as backup receptionist and support security access card administration and printer/copier troubleshooting.
Candidate Requirements
- Commercial property management experience is required. Experience must include office buildings, facilities support, tenant services, or vendor coordination. (Residential-only backgrounds will not be considered.)
- Strong AP/AR experience, including processing invoices, reconciling expenses, tracking payments, or assisting with CAM-related tasks.
- Stable, consistent work history with long-term tenure in previous roles.
- Experience supporting tenant relations, facilities teams, or building operations in a commercial/professional setting.
- Excellent customer service skills with a friendly, professional, and approachable demeanor.
- Strong written and verbal communication skills with the ability to handle inquiries and correspondence professionally.
