Job summary

Responsibilities

• Support Project Managers through initiation, planning, execution, monitoring and closure of projects.
• Ensure compliance with procedures and methodologies during project execution.
• Assist with field cost reporting, approvals and documentation sharing (POs, COIs, NDAs).
• Collaborate with accounting on cost codification and budget adjustments; support project closure.

Job description

We are currently hiring a Project Support Specialistto manage the administration side of ongoing projects within the Operations Department as well as the successful closure of completed projects. This role will be responsible for analyzing project scopes, deadlines, technical requirements and manning requirements while also being responsible for overseeing control of budgets, expenses, invoices, and other needs for the team and subcontractors, with a continuous focus on improving quality and reducing costs.

Responsibilities:

• Provide support to Project Managers in the processes of initiation, planning, implementation, monitoring, and closure of projects.
• Check for compliance regarding procedures and methodology during the course of the project implementation process
• Support Project Managers in the field in regards to implementation costs, reporting, and various other project approvals.
• Control the accuracy and sharing of proper documentation (PO's, COI's, NDA's, manuals, etc.) between subcontractors and internal personnel working on each project.
• Analyze and manage the operations and installation departments purchase orders.
• Review and post the expenses generated by the project team.
• Collaborate with accounting in the codification of costs and adjustments of budgets, and assist with the technical closure of projects.
• Manage and support the Head of Operations on the improvement of internal projects by analyzing interdepartmental methodologies, department KPI's, and any policy or regulation changes.
• Become deeply involved in the company in regards to business needs and search for training opportunities for various roles within the Operations Department.
• Bachelor's Degree in Engineering or Supply Chain Management or related field of study.
• Fluency in both English and Spanish is preferred.
• Advanced proficiency in MS Excel
