Job description

Arctic Peak is need of a Project Specialist/Coordinator that has direct knowledge in supporting the Department of Energy (DOE) Design/Build Construction Programs. This position provides direct support to the program in monitoring and ensuring the implementation, execution, and completion of quality business, technical, and financial management tasks (including planning/scheduling) associated project. Working with the Project manager and other key stakeholders to ensure that all program objectives are met or exceeded. Evaluates progression of program milestones and modifies methodology as applicable to ensure overall program goals, objectives and budget are being attained. Interfaces with and provides program compliance and progress updates and closeout services as appropriate with client/contract management. Have experience representing the client in public as well as improving public relations. Overseeing and monitoring construction projects and as needed, work solutions to other task related issues that may arise.


Responsibilities

  • Documentation of job activities and conditions as they apply to design, permits, and regulations in compliance with the scope of the contract.
  • Ability to develop documentation that comply with DOE standards, protocols and procedures.
  • Attention to detail as well as great organizational and communication skills.
  • Responsible for helping to monitor and coordinating projects from start to finish by supporting and working cooperatively with the Sr Construction Manager to eliminate blockers in all activities and approvals.
  • Collaborate with Sr. Construction Manager as well as engineers, architects, suppliers, and contractors etc. to understand the specifications of the project.
  • Review project management procedures with all parties involved, i.e., submittals, invoices, RFIs, change orders, close-out documents, etc.
  • Schedule and facilitate comprehensive pre-job planning meetings to review estimates, plans and specs with the Sr Construction Manager, estimators, and superintendents.
  • Coordinate the submittals of all documents.
  • Follow up in a consistent and timely manner to ensure approval within the project schedule.
  • Coordinates and sets up meetings to include preparing and disseminating agendas; sending invitations; tracking invitation responses and recording attendance.
  • Prepares and uploads all meeting agendas, meeting summaries and any actionable items to DOE and Arctic Peak systems of record.
  • Help review all scope/spec revisions for changes in cost and schedule. Proactively manage the change-order process and work closely with the Sr. Construction Manager to ensure documentation is organized and complete.
  • Monitor weekly reports as required by contract DOE & Arctic Peak subcontractor productivity reports.
  • Update the schedule often with the superintendent to accurately reflect changes in scope/time and actual progress.
  • Schedule a post-job review on every project to identify and document "lessons learned" as well as "project victories."

Qualifications

  • Proven knowledge and experience in support DOE
  • BS in Business Administration, Management, or related field, or 3 years relevant field experience.
  • CAPM, PMP or equivalent certification preferred
  • Possess good oral and written communication skills.Experience assisting ingeneral office operationsand strong knowledge ofMS Office Suite; Word, Excel, PowerPoint, etc.
  • Excellent organizational and time-management skills
  • Ability to adapt in using construction management tools
  • Effective use of interpersonal skills and ability to work independently.
