Job summary

Polk Mechanical Company LLC is seeking a detail-oriented Project Pursuit Specialist to support our sales and pursuit efforts. You will manage prequalification data, maintain a centralized information library, and ensure timely, accurate responses for proposals and interviews.

You will collaborate with accounting, safety, HR, operations and other teams to gather and verify data, and you will develop polished pursuit materials, including presentations and project resumes, aligned with our brand.

Qualifications

  • Bachelor's degree or equivalent in a related field.
  • Experience with prequalifications, proposals or business development preferred.
  • Strong written and verbal communication and data management skills.

Responsibilities

  • Coordinate and complete contractor prequalification requests accurately and on time.
  • Maintain a centralized library of current company information used in prequalification forms, proposals and pursuit materials.
  • Work with Accounting, Safety, Human Resources, Operations, and other departments to collect and verify required information on a regular basis.
  • Track and regularly update company statistics, financial information, safety metrics, bonding information, project experience, employee data, certifications, licenses, and other qualification materials.
  • Review information for accuracy, consistency, completeness, and appropriate formatting before submission.
  • Manage multiple requests, deadlines, and follow-up items simultaneously.
  • Identify outdated or missing information and coordinate with the appropriate department to obtain updates.
  • Maintain organized records of completed prequalifications, supporting documents, and recurring customer requirements.
  • Help improve processes for gathering, storing, updating, and retrieving pursuit-related information.
  • Partner with the sales team, executives, and operational leaders to develop materials for project pursuits and client interviews.
  • Create and format professional presentations via PowerPoint or Canva that clearly communicate Polk Mechanical's experience, qualifications, project approach, and value.
  • Develop and maintain project team resumes, project profiles, organizational charts, and other supporting pursuit content.
  • Transform technical or detailed information into clear, visually engaging materials for clients and selection committees.
  • Bring forward ideas for making interview presentations more memorable, polished, and relevant to the opportunity.
  • Ensure pursuit materials are accurate, consistent, professional, and aligned with Polk Mechanical's brand.
  • Assist with interview preparation and presentation updates as needed.

Overview

The Project Pursuit Specialist supports Polk Mechanical's sales and project pursuit efforts by maintaining accurate, current, and well-organized information used in prequalification applications, proposals, interviews, and other business development materials.

70% of this role focuses on data management and prequalification support. This includes coordinating with leaders across the organization to collect and maintain company information related to financials, safety performance, project experience, workforce statistics, qualifications, and other frequently requested data.

30% focuses on developing polished, engaging pursuit materials. The Project Pursuit Specialist will collaborate with sales leaders and executives to create presentations, project team resumes, and supporting content for project interviews and other pursuit opportunities.

The ideal candidate enjoys detailed, tactical work, takes ownership of deadlines, and can communicate effectively with employees at all levels of the organization. This role offers room to grow based on the individual’s strengths, interests, and department needs.

Responsibilities
Prequalification and Data Management

  • Take on additional responsibilities based on capacity, experience, and interest, which may include supporting risk reviews or other project evaluation processes.
Qualifications
  • Bachelor's degree in business, marketing, communications, construction management, finance, or a related field preferred; equivalent relevant experience will also be considered.
  • Previous experience with prequalifications, proposals, project pursuits, sales support, business development, construction administration, data management, or a similar function is preferred.
  • Proficiency in Microsoft Office, particularly Excel and PowerPoint.
  • Experience using Canva or a similar design platform is preferred.
  • Strong written and verbal communication skills.
  • Strong organizational, time-management, and follow-through skills.
  • Ability to manage multiple priorities and deadlines without sacrificing accuracy.
  • Ability to gather and organize information from multiple departments and subject matter experts.
  • Comfortable working with detailed company, financial, project, and performance data.
  • Ability to create polished, professional presentations and supporting materials.
  • Construction or mechanical contracting industry experience is helpful but not required.
