Job description

The Marketing & Pursuit Specialist is responsible for coordinating and executing the marketing, proposal, and pursuit activities that support EnviroVantage's business development and sales efforts. Working in close partnership with Business Development, Sales, Estimating, and subject matter experts, this role coordinates and develops proposals, pre-qualifications packages, presentations, marketing collateral, and other client-facing materials that contribute to successful pursuit outcomes.

This position serves as a key internal resource, ensuring pursuits are organized, compliant, professionally presented, and delivered on schedule. The Marketing & Pursuit Specialist coordinates information across multiple departments, manages proposal schedules and documentation, and maintains the marketing assets and content that support the company's growth initiatives.

This is an execution-focused role, and success requires exceptional organization, attention to detail, project coordination skills, and the ability to manage multiple priorities in a deadline-driven environment.

Duties & responsibilities

Proposal coordination

• Coordinate the end-to-end development of proposal packages, ensuring all deliverables are completed accurately, given a final management review, and submitted on time.
• Review solicitations (RFPs, invitations to bid, bid specs, client requirements, etc.) to develop proposal package checklist, proposal development schedule, and submission plan.
• Coordinate proposal development activities, including responsibilities and deadlines to all contributors, across Business Development, Operations, Estimating, Safety, other subject matter experts, and management.
• Prepare proposal packages, pre-qualification statements, presentations, and supporting documentation.
• Draft, edit, format, and proofread proposal content prior to final review while maintaining consistency in messaging, branding, and quality.
• Build collaborative working relationships across Operations, Estimating, Project Management, Safety, and Business Development.

SALES SUPPORT

• Serve as an administrative and project support resource for Business Development, Sales and Estimating, including lead research; preparing materials for presentations, events, and leave-behinds; and coordinating client meeting logistics.
• Assist with updates in HubSpot: opportunity tracking, capturing meeting notes, and organizing/maintaining accurate pursuit records.

MARKETING SUPPORT

• Maintain and organize marketing collateral, capability statements, project profiles, photography, and company qualifications.
• Coordinate updates to marketing materials to ensure information remains accurate and current.
• Assist with website updates, social media content, newsletters, award submissions, and marketing communications as directed.
• Ensure all materials align with company branding standards and messaging established by leadership.

Qualifications

Required Qualifications:

• Bachelor's degree in Marketing, Business, or related field.
• 2-4 years of experience in marketing, proposal coordination, business development, sales, communications, or a related role.
• Exceptional written, verbal, and proofreading skills with strong attention to detail.
• Demonstrated ability to manage multiple priorities, competing deadlines, and complex projects in a fast-paced environment.
• Ability to analyze data and market trends to make informed decisions.
• Knowledge of CRM and marketing automation platforms

Preferred Qualifications:

• Experience within the building and construction industry is preferred
• Ability to attend industry events
• Understanding of B2B marketing principles
• Experience with CRM, HubSpot is preferred

Physical Requirements

• Prolonged periods of sitting at a desk and working on a computer.
• Must be able to lift 10 pounds at times.
• Must be able to access and navigate each department at the organization’s facilities.
• Ability to stand for prolonged periods of time
