Chimney Cricket is a full-service chimney, fireplace, and hearth company serving homeowners throughout the greater Philadelphia region. Our work includes chimney restoration and masonry, fireplace installation, venting systems, gas and wood appliances, and other residential construction and home-service projects.
Project Operations Coordinator
We are looking for an experienced Project Operations Coordinator to coordinate residential fireplace and hearth restoration and installation projects from approval through completion.
This is not an entry-level administrative project coordinator position. We are specifically looking for someone with experience coordinating construction, remodeling, trades, or field-service projects.
The right candidate understands what it takes to move a physical project from a sold scope of work to a completed job—including scheduling crews, reviewing job requirements, coordinating materials and equipment, working with vendors, communicating with customers, and working with field techs to solve problems when conditions change.
Construction Project Coordination
- Manage projects from sales approval through completion and closeout
- Review scopes of work, estimates, job documentation, photos, measurements, and project requirements
- Coordinate project readiness, deposits, scheduling, materials, equipment, and crew requirements
- Maintain communication between sales, customers, field crews, vendors, and management
- Track multiple active projects and proactively identify scheduling, material, or job-readiness issues
- Coordinate changes or unexpected field conditions that affect project execution
- Visit active job sites to review progress, quality, project conditions, customer satisfaction, and crew needs
- Help ensure crews arrive with the information, materials, equipment, and preparation necessary to complete the project successfully
Project Administration & Closeout
- Review technician paperwork, job notes, photos, and project documentation
- Monitor project labor and technician timesheets
- Ensure required project documentation is complete and accurate
- Track outstanding project items and follow them through resolution
- Coordinate project completion, closeout, and handoff to billing
Purchasing & Material Coordination
- Review project material and equipment requirements
- Order materials, venting, equipment, and specialty components
- Coordinate purchasing with manufacturers, distributors, and local suppliers
- Track purchase orders, lead times, backorders, and delivery dates
- Verify orders for accuracy before projects are staged
- Identify material issues that could affect project schedules
- Maintain organized purchasing and project records
Safety Program Coordination
- Maintain company safety documentation, incident records, and OSHA logs
- Coordinate safety meetings, training sessions, and toolbox talks
- Track employee safety certifications and training requirements
- Maintain SDS, equipment, and other required safety documentation
- Assist with incident documentation and coordination with outside safety consultants
Required Qualifications
- Minimum 2 years of experience coordinating or managing construction, remodeling, skilled-trade, installation, or field-service projects
- Experience coordinating multiple active field projects involving crews, schedules, materials, customers, vendors, and changing job-site conditions
- Working understanding of how residential construction or skilled-trade projects move from estimate/sale through planning, procurement, field execution, and completion
- Experience reviewing scopes of work, job documentation, material requirements, and project schedules
- Ability to anticipate project needs and identify missing information, materials, or job-readiness issues before sending a crew
- Strong organizational and problem-solving skills with the ability to manage competing priorities and deadlines
- Confident communication with homeowners, field technicians, vendors, salespeople, and management
- Comfortable visiting active residential construction/job sites
- Proficient with business software, project-management systems, and Microsoft Office or Google Workspace
Preferred Experience
Experience in one or more of the following industries is strongly preferred:
- Residential construction or remodeling
- HVAC
- Roofing
- Chimney, fireplace, or masonry
- Plumbing
- Electrical
- General contracting
- Specialty trades or home services
Additional preferred experience includes:
- Construction purchasing and material procurement
- Coordinating subcontractors and field crews
- Inventory or warehouse coordination
- Reading construction scopes, plans, specifications, or manufacturer documentation
- OSHA documentation, safety programs, or construction safety compliance
Who Will Be Successful in This Role
This position is a good fit for someone who has worked around construction projects long enough to understand that the plan on paper and what happens in the field aren't always the same thing.
You should be comfortable looking at a project and asking questions such as: Do we have everything the crew needs? Are the materials correct? Is the site actually ready? Are there access or scheduling issues? Is something missing from the scope? Does the customer understand what is happening? What could prevent us from completing this job as scheduled?
