JOB SUMMARY

Level-Up Companies is seeking a highly organized and driven Project Manager – Project Delivery Support to support the successful delivery and closeout of our growing infrastructure program. The ideal candidate will work closely with construction, operations, project controls, engineering, finance, subcontractors, vendors, and customers to ensure project commitments are clearly documented, actively tracked, and driven to completion.

This role does not directly manage field construction means and methods. Instead, it is accountable for maintaining project visibility, coordinating cross-functional actions, and ensuring required project deliverables move forward across all participating functions. A key focus of the role is moving projects efficiently from construction completion through documentation, customer acceptance, billing readiness, and final administrative closeout.

RESPONSIBILITIES:
  • Project Tracking & Coordination: Maintain overall project status from kickoff through final customer acceptance and closeout. Develop and maintain project trackers, milestone schedules, action logs, risk registers, and deliverable matrices. Track customer and contractual milestones, proactively identify schedule or deliverable risks, facilitate project meetings, and ensure action items have clearly assigned owners and due dates.
  • Cross-Functional Coordination: Coordinate across Construction, Engineering, Operations, Finance, Project Controls, subcontractors, vendors, and customers to maintain project momentum and ensure commitments are completed. Escalate unresolved issues, missed commitments, schedule risks, and customer concerns through PMO leadership.
  • Deliverables & Closeout Management: Own and maintain the project closeout and customer deliverables tracker. Identify required closeout documentation at project kickoff and coordinate the collection, review, and submission of as-builts, site photographs, inspections, test results, quality records, permits, equipment documentation, punch-list evidence, and customer-specific acceptance packages.
  • Documentation & Acceptance: Track documentation gaps, deficiencies, customer comments, rejected deliverables, corrections, and resubmissions through final resolution. Drive projects from construction completion through customer acceptance and administrative closeout while maintaining visibility into outstanding requirements.
  • Billing Readiness: Track customer billing milestones and associated documentation requirements. Coordinate with Project Controls and Finance to verify completed milestones are supported by required documentation and customer acceptance. Identify documentation or acceptance issues that could delay invoicing and maintain visibility into completed-but-unbilled milestones.
  • Schedule & Milestone Tracking: Maintain project milestone schedules and monitor progress against customer commitments. Coordinate schedule updates with Construction and other functional owners. Track dependencies including engineering, permitting, materials, utilities, construction, testing, customer acceptance, and closeout. Ensure critical milestones have clearly assigned owners and completion dates.
  • Customer & Stakeholder Coordination: Support customer status meetings and provide accurate project updates. Maintain customer action-item and deliverable logs and coordinate responses to customer requests with the appropriate internal owner. Ensure customer commitments are documented, communicated internally, and proactively addressed before they become critical issues.
  • PMO Reporting & Governance: Prepare weekly project status reports and portfolio updates. Maintain accurate Green / Yellow / Red project status assessments and provide PMO leadership with visibility into milestones, deliverables, closeout, billing readiness, risks, and unresolved actions. Follow established PMO templates, processes, reporting standards, and governance requirements.
  • Process Improvement: Participate in lessons-learned reviews and contribute to the continuous improvement of project-management, documentation, customer acceptance, billing readiness, and closeout processes.
QUALIFICATIONS:

Experience: 3-7 years of experience in project management, project coordination, construction administration, infrastructure delivery, or a related field. Preferred backgrounds include construction, telecommunications, utility infrastructure, engineering, data centers, electrical infrastructure, mission-critical, or similar project environments.

Skills:
  • Proven ability to manage multiple projects, priorities, milestones, and deliverables simultaneously.
  • Strong project tracking, coordination, organizational, and follow-up skills.
  • Experience maintaining project schedules, action logs, risk registers, deliverable matrices, and status reports.
  • Strong understanding of construction project lifecycle, including construction completion, documentation, customer acceptance, billing readiness, and closeout.
  • Ability to coordinate effectively across Construction, Engineering, Operations, Project Controls, Finance, subcontractors, vendors, and customers.
  • Strong analytical and problem-solving skills.
  • Strong attention to detail and ability to identify documentation, schedule, and process gaps.
  • Excellent written and verbal communication skills.
  • Strong ability to facilitate meetings, document decisions, assign action items, and drive accountability.
  • Ability to identify and elevate project risks, missed commitments, and customer-impacting issues.
  • Strong sense of ownership and urgency toward overall project results.
  • Ability to work independently and collaboratively as part of a cross-functional team.
  • Proficiency with Microsoft Office and project management/tracking tools.
CROSS-FUNCTIONAL ROLE BOUNDARIES:
  • Construction: Physical construction, field execution, means and methods, safety, quality, and production.
  • Project Delivery Support: Project tracking, milestones, documentation, deliverables, customer acceptance, billing readiness, and administrative closeout.
  • Project Controls / Operational Finance: Budget, actuals, commitments, ETC/EAC, forecast, margin, and financial controls.
  • Preconstruction / Estimating: Estimate, scope, pricing, assumptions, exclusions, and pre-award risk.
  • PMO / Strategic Programs: Overall project/program governance, customer commitments, PM accountability, and portfolio performance.
