Responsibilities

  • Review bid packages, contracts, plans, and specifications from Account Managers to confirm project scope and requirements.
  • Conduct regular project review meetings with Account Managers.
  • Serve as the primary point of contact between Account Managers, installers, and clients, keeping all parties updated on progress, delays, or changes.
  • Coordinate compliance documentation, safety program acknowledgments, and OSHA certifications.
  • Manage submittals and project documents: product samples and specs, drawings, MSDS sheets, and contact sheets.
  • Track change orders and confirm proper acknowledgment.
  • Submit material orders to Purchasing and confirm delivery ETAs.
  • Coordinate material deliveries with vendors, the warehouse, and jobsites to provide customers with delivery confirmations and schedule updates.
  • Create work orders for warehouse pull slips and installers.
  • Confirm labor costs align with estimated costs on work orders.
  • Communicate with in-house installers and subcontractors to confirm scheduling, staging, and manpower needs.
  • Maintain the master installation calendar and project tracking system across all active jobs.
  • Arrange and participate in job walks, pre-construction meetings, and punch walks as necessary.
  • Prepare closeout packages, including warranties, maintenance guides, manuals, and final signoffs.

Flooring Solutions, Inc. (FSI), a commercial flooring contractor and distributor based in Livermore, California, is seeking a hands-on leader to establish and operate its project management function.

Reporting directly to the President, the Sr Project Manager will initially oversee commercial flooring installations from bid award through closeout. This portion of the role owns the day-to-day coordination of materials, installers, subcontractors, and documentation that keeps flooring projects on schedule and within budget.

Beyond managing individual projects, this person will be responsible for developing the people, processes, systems, and operating standards required to build a scalable project management department. The successful candidate will establish consistent project management procedures, improve coordination among Account Managers, Purchasing, Warehouse, Field Operations, installers, subcontractors, and customers, and build a function capable of supporting a growing business.

As a member of the management team, this individual will also work closely with the President to support broader company objectives, improve operational performance, and prepare the business for continued growth.

Company Leadership and Operational Improvement
  • Work directly with the President to advance the company's operational, financial, and growth objectives
  • Provide visibility into project performance, department capacity, staffing needs, and operational risks
  • Standardize project management workflows, controls, documentation, and reporting across the team
  • Lead the implementation and adoption of the company's ERP and operational systems, including WASP.
  • Identify opportunities to leverage talent and oversee their onboarding, training, and integration into company workflows
  • Partner with department leaders to improve coordination, accountability, and scalability across the business.
Qualifications
  • Three or more years of project management experience in commercial flooring, construction, specialty contracting, or a related trade
  • Strong ability to interpret plans, specifications, contracts, and construction documentation; knowledge of commercial flooring materials and installation methods is an asset
  • Excellent organizational, communication, and technology skills, including experience with ERP or project management systems and Microsoft Office.
  • Understanding of project budgets, job costs, labor productivity, change orders, billing, and margin management.
  • Demonstrated ability to lead teams, improve workflows, implement systems, and establish accountability is preferred
  • Interest in business operations and a desire to contribute to the broader growth
