Job summary

Spacesaver Intermountain, LLC seeks a Project Manager to lead the San Diego office and oversee multiple projects and service requests from order acceptance through closeout. You will partner with sales, project management, design, and accounting to ensure alignment with internal processes and a positive customer experience.

Responsibilities

  • Prepares quotes and processes orders; assists in establishing service fees and discounts.
  • Maximizes revenue and gross profit margin for all transactions.
  • Maintains accurate records including sign-offs, approvals, and key decision records.
  • Coordinates and schedules order placement, delivery, and installation.
  • Communicates with customers about order status, punch list, and delivery/installation dates.
  • Secures and negotiates freight and installation quotations by project.
  • Creates work orders and coordinates with installation team for final delivery.
  • Records site measurements accurately for interpretation by others.
  • Manages project installation schedule and communicates milestones to stakeholders.
  • Manages pre-install site visits and reviews site access requirements.
  • Interacts with contractors and installation teams to ensure smooth execution.
  • Manages submittals to factory and schedules punch list items.
  • Ensures invoicing is timely and accurate upon project completion.

SUMMARY

Manages San Diego Office as well multiple projects and service requests simultaneously from order acceptance through closeout. Represents Spacesaver Intermountain’ s business interests, including on the job site, ensuring a positive customer experience from start to finish. Provides administrative assistance to senior leadership in many areas of the business. Supports other team members and customers as needed.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned:
  • 1. Prepares quotes and processes orders. Assists in establishing service fees and discounts for customers.
  • 2. Maximizes revenue and gross profit margin for all transactions.
  • 3. Maintains accurate and detailed record keeping including sign-offs and approvals, key decision records, etc.
  • 4. Completes order placement based on phasing, delivery dates and ship to locations as outlined by Project Manager, Account Manager and/or Installation Manager.
  • 5. Checks acknowledgments against orders; resolves discrepancies with factory; sends acknowledgment to customer; verifies ship date with customer.
  • 6. Communicates with customers regarding order status, punch list resolution and the scheduling of orders for delivery/installation. Provides clarification and answers for customer’s questions regarding order issues.
  • 7. Be capable of securing and negotiating freight and installation quotations by project.
  • 8. Creates work orders and coordinates with installation team for final delivery and installation.
  • 9. Enters orders for punch list/warranty work; follows up to ensure all punch list work is done in a timely manner.
  • 10. Works in a team environment. Creates and maintains strong relationships with internal and external customers, partnering with sales, project management, and design and accounting to ensure that all elements of a project are in sync and adhere to internal process.
  • 11. Assists in managing the Preventative Maintenance Program. Maintains internal records for incoming and outgoing interterritorial projects.
  • 12. Maintains filing systems as assigned. Assists with project permitting and responding to general contractor pre-qualification applications.
  • 13. Reads, interprets, and understands detailed architectural construction plans, including drawings, schedules and associated specification documents specific to the integration of our construction solutions offered. Experience in construction contracting and processing is helpful.
  • 14. Understands and uses appropriate tools for jobsite measuring including rotary laser, plumb and level laser, 5‐point laser, distance measuring laser and standard tape measure.
  • 15. Accurately records site‑specific jobsite measurements in a legible format for interpretation by others.
  • 16. Understands the scope of work on site and knows all the details of a project.
  • 17. Develop and manage the project installation schedule in coordination with the team and communicate that schedule, milestones and tasks to all appropriate parties involved, including General Contractor’s and other subcontractors.
  • 18. Manages incoming service calls when assigned.
  • 19. Works with installation partners to create quotes, providing installation drawings and instructions to installers.
  • 20. Coordinates and manages pre‑installation site visits when necessary; review all expectations for schedule and site access requirements.
  • 21. Appropriately interacts with jobsite personnel including general contractors, associated sub‑trades and our installation teams to foster positive interaction and desired outcomes.
  • 22. Manages submittals to the factory and schedules punch list items.
  • 23. Confirms project completion and ensures all invoicing is timely and accurate.
  • 24. Manages warranty submittal process for territories as assigned. Troubleshoot storage equipment that needs minor repairs/adjustments.
  • 25. Participate in company meetings and training events and propose (as well as be involved) with suggesting, developing and documents process changes within the organization.
  • 26. Orders and manages marketing literature when assigned, including brochures material samples and assist in distributing samples, brochures, literature, drawings, etc. to internal and external customers as requested.
  • 27. Other duties and responsibilities as assigned.
QUALIFICATIONS

Extremely self‐motivated with the ability to work independently or with a team in a fast‐paced environment. Strong time management capabilities with an ability to work under deadlines and time restraints. Strong problem-solving skills; an ability to develop options and implement solutions in a positive capacity. Aptitude with technology and strong willingness to learn. Great communication skills, both written and verbal. Strong organizational skills.

EDUCATION and/or EXPERIENCE

A Bachelor of Science degree preferred. Knowledge in office management, project management, construction management or a technical diploma in engineering, architecture or related field, and/or three to five years of construction, architectural, commercial furnishings and design, engineering or related experience is preferred.

PHYSICAL DEMANDS

While performing the duties of this job, the employee is regularly required to talk or hear. Considerable use of arms, legs and moving the whole body, such as climbing, lifting, balancing, and walking is required. The employee frequently is required to stoop, kneel, crouch or crawl. The employee is regularly required to use hands to finger, handle or feel, and reach with hands and arms. The employee must occasionally lift and/or move up to 50 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.

WORK ENVIRONMENT

The work environment will vary for office work versus work that takes place on a construction site. The physical office environment is consistent with most professional service organizations. The noise level in the work environment is usually quiet. While performing the duties of this job, the employee is required to frequently go on site to inspect a project and may be exposed to ongoing construction and various weather conditions. The noise level in this work environment may range from moderate to loud. This position is also performed in outside weather conditions and may require personal protective equipment (PPE).
