Job description

The Project Manager (PM) is responsible for their team delivering a completed project on time, on scope, and on budget. The PM also manages mid- to senior-level relationships across all internal capabilities and oversees implementation of tactical plans while partnering with the team to ensure deliverables are on strategy and meet quality standards. This role requires end-to-end project management expertise, from initial scoping through to delivery, overseeing project teams, managing client and internal relationships, and ensuring adherence to best practices and quality standards.

They are creative problem solvers, whose production expertise allows them to drive complex development efforts across multiple channels, including digital media, content and print, websites and banners, email programs, social and integrated campaigns. This role knows when and how to be flexible and is an indispensable partner across Account Management, Creative, Strategy, and Production.

The PM manages all aspects of the project life cycle from concept to delivery and must be intimately familiar with the roles played by each practice area (Creative, Design, Copywriting, Editorial, Studio, Print Production, User Experience, Development, and Quality Assurance, etc). The PM acts as a confident partner with internal key departments and outside agency partners, providing operational clarity, driving change management with an innate ability to push things forward and get things done.

Key Responsibilities:

  • Lead and manage large-scale projects, including advertising campaigns, digital and print content, websites, and social media initiatives.
  • Develop and monitor detailed project plans, timelines, and budgets. Address risks and resolve issues to ensure timely and on-budget delivery.
  • Coordinate creative processes and ensure adherence to established procedures.
  • Manage job flow and maintain accurate documentation through platforms like SharePoint and job tracking systems.
  • Prepare and submit project documentation, including scopes of work, estimates, and status reports.
  • Work closely with Account Management to ensure daily hotsheets and status reports are accurate, alerting Account Management to necessary updates.
  • Monitor jobs and alert team to possible delays/issues, assuring open communication among team members.
  • Participate in recruiting, hiring, and departmental initiatives.
  • Demonstrate knowledge of and ability to plan a complete product launch.
  • Coordinate and run weekly status meetings.
  • When and if best practices are not followed, alert the Program Director.
  • Uphold the Company Values in all decisions and interactions.
  • Perform other job-related tasks as assigned by the Program Director.
  • Collaborate with cross-functional teams to ensure seamless project execution and foster a positive team environment.
  • Assist peers when workload permits.
  • Client and Stakeholder Management:
  • Serve as the PM client contact, managing expectations, providing updates, and addressing concerns.
  • Build and maintain strong relationships with clients and internal teams.
  • Manage client expectations, provide regular updates, and address any concerns or changes in scope.
  • Develop knowledge of Client's process/procedures and the people involved and interact appropriately.
  • Attend client status meetings/select client calls when appropriate to proactively track and address key project deliverables.
  • Help monitor quality control standards of Project Managers and Associate Project Managers to assure that all work meets the highest possible standards of accuracy.
  • Make recommendations to the Program Director for any workload adjustments.
  • Help Program Director evaluate performance of department team members.
  • Help Program Director manage and resolve staff issues including performance, personal presentation, and internal interactions.
  • Support Program Director with launch and convention planning.
  • Support Program Director with new business initiatives.
  • Budget and Resource Management:
  • Identify and address any budgetary or resource issues that may impact project delivery.
  • Develop realistic estimates and be accountable for the scope of work and budget.
  • Partner with Department leads to align on project staffing needs.
  • Track ongoing changes throughout the project lifecycle, and actively reconcile estimates to actuals.
  • Track ongoing overall client scope of work and reconcile budgets monthly.
  • Quality Assurance and Process Improvement:
  • Ensure deliverables meet quality standards and client expectations.
  • Implement quality control processes and continuously improve project management practices.
  • Continuously assess and improve project management processes to enhance efficiency and effectiveness.
  • Additional Responsibilities:
  • Participate in business development and new business initiatives.
  • Stay updated with industry trends and best practices.
  • Support departmental needs and contribute to process improvements.
  • Monitor and assure continual adherence to basic practices, procedures, and reporting for consistency across all accounts in the department.
  • Demonstrate ability to set priorities while handling multiple projects.
  • Remain calm despite high-pressure situations.
  • Project a professional, positive attitude toward peers and clients.
  • Foster a positive team atmosphere and establish credibility.

Qualifications:

  • Bachelor’s degree in a relevant field.
  • 2+ years of project management experience, preferably in advertising or marketing with a focus on digital and print production.
  • Proven ability to manage large-scale projects and cross-functional teams.
  • Strong leadership, communication, organizational, and problem-solving skills.
  • Proficiency in project management tools (e.g., WorkFront, Microsoft Project).
  • PMP, Six Sigma, or similar certifications are a plus.
  • Experience in regulated industries (e.g., healthcare, finance) is advantageous.

Experience:

  • 2 years in a digital producer or project management role (agency or high-tech environment).
  • 2 years managing print/integrated tactics.
  • 2 years’ experience in regulated industries (healthcare or finance).

The range below represents the low and high end of the base salary someone in this role may earn as an employee of an Omnicom Health Group company in the United States. Salaries will vary based on various factors including but not limited to professional and academic experience, training, associated responsibilities, and other business and organizational needs. The range listed is just one component of our total compensation package for employees. Salary decisions are dependent on the circumstances of each hire.
