Job summary

HEAVEN OR LAS VEGAS LLC is seeking an organized Project Manager to oversee custom fabrication, experiential marketing, retail, trade shows, branded activations, events and specialty installations from concept to completion.

This role serves as the primary liaison between clients, creative teams, fabrication personnel, vendors, installers, and leadership, working with the Creative Fabrication Specialist to ensure delivery on time, within budget, and to client expectations.

Qualifications

  • High school diploma or equivalent is required.
  • 3+ years of project management or related experience in fabrication/experiential marketing/events.
  • Experience coordinating multiple vendors, departments or production teams.
  • Experience working with budgets, estimates, POs, and schedules.
  • Strong organizational and written/verbal communication skills.
  • Ability to learn and use project management and scheduling systems.
  • Professional demeanor with a client-service mindset.

Responsibilities

  • Manage projects from planning through completion, delivery, and installation.
  • Serve as primary contact for assigned clients throughout the project lifecycle.
  • Collaborate with the Creative Fabrication Specialist on scope, timelines, and priorities.
  • Review estimates, drawings, specifications, POs, and documentation.
  • Develop and maintain detailed schedules, milestones, and deadlines.
  • Coordinate communication among clients, designers, fabricators, vendors, and installers.
  • Monitor progress and proactively address scheduling, budget, or production issues.
  • Manage budgets, cost tracking, and change orders.
  • Ensure documentation is up-to-date and aligns with approved scope.

Description

Heaven or Las Vegas is looking for an organized, proactive, and detail-oriented Project Manager to join our team. The Project Manager will oversee custom fabrication, experiential marketing, retail, trade show, branded activation, event, and specialty installation projects from initial concept through completion.

This position serves as a key point of contact between clients, creative teams, fabrication personnel, vendors, installers, and company leadership. The Project Manager will work closely with the Creative Fabrication Specialist to ensure projects are delivered on time, within budget, and according to client expectations.

The ideal candidate is someone who thrives in a fast-paced environment, can manage multiple projects simultaneously, communicates effectively, and is proactive about identifying and solving problems.

What You'll Do
  • Manage projects from initial planning through completion, delivery, and/or installation.
  • Serve as the primary point of contact for assigned clients throughout the project lifecycle.
  • Partner with the Creative Fabrication Specialist on project scope, creative direction, fabrication requirements, schedules, and priorities.
  • Review project estimates, drawings, renderings, specifications, purchase orders, and other project documentation.
  • Develop and maintain detailed project schedules, milestones, and deadlines.
  • Coordinate communication between clients, designers, creative teams, fabricators, vendors, installers, and other stakeholders.
  • Monitor project progress and proactively identify scheduling, budget, material, labor, or production issues.
  • Coordinate materials, equipment, labor, subcontractors, vendors, shipping, and installation requirements.
  • Request and review vendor pricing, quotes, lead times, and availability.
  • Track project budgets, purchase orders, invoices, labor, materials, and other project costs.
  • Review project costs against approved budgets and communicate potential cost concerns to management.
  • Maintain accurate project documentation, including schedules, budgets, estimates, purchase orders, change orders, production notes, and client communications.
  • Coordinate client approvals and ensure artwork, drawings, specifications, and other required information are received on time.
  • Coordinate with fabrication teams to ensure production aligns with approved specifications and schedules.
  • Coordinate shipping, delivery, and installation logistics.
  • Communicate installation requirements, site conditions, schedules, and client expectations to installation teams.
  • Attend client, production, project, and site meetings as needed.
  • Maintain consistent communication with clients regarding project status, timelines, approvals, changes, and outstanding items.
  • Assist in resolving client concerns and project issues professionally and efficiently.
  • Ensure project deliverables meet approved scope, quality standards, deadlines, and client expectations.
  • Manage project closeout activities and ensure outstanding items and final deliverables are completed.
  • Participate in post-project reviews and help identify opportunities to improve project management and production efficiency.

Requirements

What We're Looking For
  • High school diploma or equivalent required.
  • At least 3 years of project management, production management, construction, fabrication, experiential marketing, events, retail environments, trade shows, or related experience.
  • Experience managing projects from initial scope through completion.
  • Experience coordinating multiple vendors, departments, or production teams.
  • Experience working with project budgets, estimates, purchase orders, and schedules.
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and ability to identify potential issues before they impact a project.
  • Excellent problem-solving and decision-making abilities.
  • Ability to manage multiple projects, deadlines, and priorities in a fast-paced environment.
  • Ability to understand fabrication processes, materials, production methods, and installation requirements.
  • Ability to read and understand estimates, proposals, drawings, renderings, specifications, and production documentation.
  • Proficiency with Microsoft Office or comparable business software.
  • Ability to learn and effectively use project management, accounting, scheduling, and communication systems.
  • Professional demeanor and a strong commitment to client service.
Preferred Experience
  • 3–5 years of experience in experiential marketing, scenic fabrication, museum exhibits, retail displays, trade shows, or custom environments.
  • Experience with Adobe Creative Cloud applications.
  • Experience working with CNC-produced components, laminates, acrylics, and specialty materials.
  • Experience with large-format printing, vinyl graphics, CNC routing, laser cutting, or other digital fabrication processes.
  • Experience with installation projects and field modifications.
  • Basic understanding of AutoCAD, SolidWorks, or similar fabrication/drafting software.
  • Forklift certification or ability to obtain certification.
