An Inside Sales / Project Manager acts as the primary bridge between Payler Wholesale Printing, our clients, and internal production. This hybrid role drives revenue growth through proactive client communication, accurate estimating, and consultative sales, while managing print projects seamlessly from initial quote through production to final delivery.
Communicates with customers, production teams, and co-workers promptly, professionally, and positively.
Meets clients' needs in a timely, accurate, and cost-effective manner.
Communicates relevant project details, deadlines, and potential risks to management and production staff.
Takes instruction from management thoroughly and demonstrates initiative in problem-solving.
Pays meticulous attention to detail across all job dockets, specifications, and client approvals.
Maintains complete and accurate production records (e.g., docket notes, proofs, key dates, initials, receipts).
Verifies job specifications and inspects proofs and finished products to ensure satisfactory quality standards.
Assists in training and cross-training other employees across sales and customer service workflows.
Continuously updates job knowledge, printing technology capabilities, industry trends, and product offerings.
Maintains a clean, orderly work environment including, but not limited to, desk organization, paper handling, sanitation, and general workspace maintenance.
Backs up assigned co-workers as outlined in Payler’s backup procedures.
Identify, follow up on, and cultivate sales opportunities with existing accounts and incoming inquiries to expand profitable business.
Provide consultative guidance to clients regarding print specifications, stock selection, finishing options, and turnaround timelines.
Generate and deliver comprehensive project proposals, job estimates, and freight quotes accurately and promptly.
Follow up systematically on outstanding quotes and leads to maximize order conversion rates.
Maintain complete and updated records of client accounts, quotes, communication history, and opportunities within Payler's management system.
Manage the complete project lifecycle from order entry through preflight, proofing, production, and final delivery.
Navigates and updates the ordering system through each production stage, leaving precise notes for prepress and production teams.
Review incoming print files, job dockets, and specifications for accuracy before releasing orders into production.
Coordinate cross-departmentally with Prepress, Production, and Shipping to monitor job progress and enforce strict delivery deadlines.
Proactively resolve production bottlenecks, file errors, or schedule conflicts, keeping clients informed of project status at all times.
Manage job changes, proofs, and approvals, ensuring all scope modifications are documented and properly billed.
Field incoming sales inquiries and client support calls in a positive, professional, and solution-oriented manner.
Generate regular sales activity, open order, and project status reports for management review.
Coordinate logistics, special handling, and custom shipping requirements for completed orders.
Perform other related duties as needed to support business operations.
High School Diploma or equivalent required
Ideally 2–4 years of experience in inside sales, account management, or project management within commercial Signs/Printing, Construction, Packaging, or manufacturing
Proven track record of estimating, quoting, and managing client accounts.
Technical Printing Knowledge: Familiarity with commercial print production processes, paper stocks, coatings, finishing operations, and file formats (Preflight/PDF specs).
Communication: Exceptional verbal and written communication skills with a strong, persuasive, and professional telephone manner.
Organization & Multitasking: Outstanding time-management capabilities; ability to prioritize and juggle multiple tight-deadline projects simultaneously without sacrificing accuracy.
Problem-Solving: Proactive problem solver with close attention to detail when reviewing dockets, artwork specs, and order instructions.
Software Proficiency: Computer literacy in print management software (MIS/ERP systems), CRM software, and Google Workspace or Microsoft Office Suite.
