Job summary

Smart Build LLC in California seeks an experienced Construction Project Manager to lead multifamily renovation, rehab, unit turns, and CapEx projects from scope to closeout. You will develop budgets, schedules, and scopes, and oversee site inspections and progress meetings to ensure quality and on-time delivery.

Responsibilities include coordinating subcontractors, managing vendor bids, and tracking costs across sites.

Qualifications

• 5+ years of construction project management experience in multifamily renovation or capital improvements.
• Experience managing multiple projects or sites simultaneously.
• Experience with general contractors, subcontractors, vendors, and trades.
• Experience developing budgets, scopes, schedules, and cost tracking.
• Strong understanding of construction processes, sequencing, and field operations.
• OSHA knowledge; OSHA 10 or 30 preferred.
• Experience with project management software; Smartsheet and Procore preferred; MS Project a plus.
• Strong organizational, documentation, problem-solving, and communication skills.
• Ability to work independently, prioritize deadlines, and resolve issues.
• Valid driver's license and reliable transportation for regional travel.
• Bilingual in English and Spanish (preferred).
• Experience with LIHTC, Section 8, HUD programs (preferred).

• Coordinate subcontractor schedules, monitor performance, and ensure safety and quality.
• Maintain project documentation including budgets, schedules, logs, inspections, and invoices.
• Lead project kickoff meetings, site walks, progress meetings, and final walkthroughs; maintain client communications.

Key Responsibilities

Project Management & Field Operations

• Manage multiple concurrent multifamily renovation, rehabilitation, unit-turn, and CapEx projects across client properties from scope development through closeout.
• Develop and manage project budgets, scopes of work, schedules, and cost breakdowns.
• Conduct property inspections, site walks, progress meetings, and quality-control reviews.
• Coordinate unit turns, make-readies, punch lists/punch-outs, and final inspections.
• Monitor project progress and proactively address schedule, quality, material, or production issues.
• Track materials, inventory, deliveries, and subcontractor production across multiple sites.

Subcontractor & Vendor Management

• Source, qualify, vet, and manage general contractors, subcontractors, and vendors across multiple trades, including electrical, plumbing, flooring, painting, HVAC, carpentry, and more.
• Develop detailed scopes of work for competitive bidding and bid leveling.
• Review and compare subcontractor bids, negotiate pricing and terms, and make vendor recommendations.
• Coordinate subcontractor schedules and monitor performance, workmanship, productivity, and compliance.
• Ensure subcontractors understand project scopes, schedules, safety requirements, and company standards.

Budget, Cost & Schedule Control

• Establish and maintain project budgets from initial scope through completion.
• Monitor committed costs, actual costs, change orders, invoices, and projected final costs.
• Review subcontractor and vendor invoices against approved scopes and completed work.
• Maintain accurate project schedules and coordinate timelines with property management teams and subcontractors.
• Identify potential cost overruns, delays, and project risks early and take corrective action.

Safety, Quality & Compliance

• Enforce OSHA requirements and Smart Build safety procedures across all project sites.
• Conduct regular safety, quality, and progress inspections.
• Verify completed work meets approved scopes, specifications, and company quality standards.
• Identify deficiencies and ensure punch-list items are completed promptly.
• Maintain required safety, inspection, and compliance documentation.

Documentation & Technology

• Maintain complete and accurate project documentation, including:
• Scopes of work
• Budgets and cost reports
• Project schedules
• Daily logs
• Inspection reports
• Safety records
• Change orders
• Invoices
• Before-and-after photos
• Punch lists and closeout documentation
• Use project management and reporting platforms such as Smartsheet, Procore, Buildertrend, MS Project, or similar software.
• Keep project information current and ensure internal teams and clients have timely visibility into project status.

Client & Property Management Relations

• Serve as a primary point of contact for property management teams throughout the project lifecycle.
• Coordinate site access, work schedules, inspections, and project requirements with property teams.
• Lead project kickoff meetings, site walks, progress meetings, and final walkthroughs.
• Provide clients with clear and consistent updates regarding project progress, schedule, budget, risks, and outstanding items.
• Build and maintain strong relationships with clients, property managers, subcontractors, vendors, and internal stakeholders.
• Respond promptly and professionally to project issues and client concerns.

Qualifications Required

• 5+ years of construction project management experience, preferably in multifamily renovation, rehabilitation, unit turns, or capital improvement projects.
• Demonstrated experience managing multiple projects or job sites simultaneously.
• Experience managing general contractors, subcontractors, vendors, and multiple construction trades.
• Experience developing and managing project budgets, scopes of work, schedules, and cost tracking.
• Strong understanding of construction processes, sequencing, and field operations.
• Working knowledge of OSHA safety standards; OSHA 10 or OSHA 30 certification preferred.
• Experience with construction/project management software; Smartsheet experience strongly preferred. Procore, Buildertrend, or MS Project experience is a plus.
