Job summary

Siemens in Norfolk, VA is seeking a Project Coordinator to support the project management team. You will manage document control, scheduling, financial documentation, and project close-out to keep milestones moving smoothly.

The role requires a high school diploma, ability to read contracts, and proficiency in Microsoft Office. Notary Public status is required or must be obtained within 3 months; US work authorization is mandatory.

Qualifications

  • Experience with Microsoft Office and business software systems.
  • Verbal and written communication skills in English.
  • Must be a Notary Public OR obtain Notary Public designation within 3 months.

Responsibilities

  • Maintain documentation for project booking packages, keep them complete and up to date.
  • Schedule and attend project turnover meetings and record details.
  • Coordinate material purchasing and delivery, track shipments, and account for costs.
  • Maintain billing and collections documentation; communicate issues to PM team.
  • Create purchase requisitions for subcontracts and complete subcontract/bond documents.
  • Create monthly project snapshots and identify changes in planned costs.
  • Track timesheet submissions and ensure month-end compliance.
  • Ensure closed projects have no unissued materials and are 100% billed.

The Project Coordinator supportsthe project management teamwithdocument control, project scheduling, financial documentation,and project close-outto ensure projects move smoothly through project milestones.

As a Project Coordinator, you will:

  • Maintain documentation for project booking packages,ensuringthatpackagesarecomplete andkept up to date.
  • Scheduleand attendproject turnover meetingsand record important project details.
  • Coordinate materialpurchasingand delivery,track shipments, and account for costs.
  • Maintain billing andcollectionsdocumentation;communicateissues to the project management team.
  • Create purchase requisitions for subcontracts. Complete subcontract agreements and bond documents.
  • Create a monthly snapshot for all projects andidentifychanges inplanned costs.
  • Track timesheet submittalsfor projects and ensure all timesheets aresubmittedbefore month-end.
  • For projects set to close, ensure they do not have unissued material, are 100%billed,and do notcontaincommitted costs.
  • Maintain excellent organizational and interpersonal skills

Basic Qualifications:

  • High school diploma or state-recognized GED
  • Must be able todemonstratethe ability to read and understandcontract documentation
  • ExperiencewithMicrosoft Officeand business software systems
  • Verbal and written communication skills in English
  • Must be a Notary Public OR must obtain a Notary Public designation from the State that this positionresideswithin the first 3 months of employment
  • Legally authorized to work in the United States on a continual and permanent basis without company sponsorship

Preferred Qualifications:

  • Experience in similar industry or construction industry
  • Familiarity or experience withHVAC/Fire Alarm/Security systems
  • SAP experience

The pay range for this position is $39,199 - $67,198 annually. The actual wage offered may be lower or higher depending on budget and candidate experience, knowledge, skills, qualifications, and premium geographic location.
