PROJECT COORDINATOR – SENSING & COMMUNICATION SYSTEMS

Applied Physical Sciences is seeking a highly motivated Project Coordinator to join our growing team. We are looking for an early‑career professional who is organized, adaptable, curious, and eager to build a foundation in project management in a fast‑paced environment focused on the research & development of advanced technologies. A successful candidate will work closely with project leadership teams and act as an operational enabler to Principal Investigators, assisting them with a variety of efforts spanning project planning, tracking, reporting, finances, deliverables, and risk management, ultimately helping to ensure successful project execution and customer satisfaction. This role offers visibility, growth potential, and the opportunity to add value to meaningful projects. It is a foundational role with the opportunity to evolve based on your strengths and growing impact.

Job Functions and Responsibilities
  • Project Lifecycle & Planning: update master schedules and track against deadlines, assist in project planning, update project management tools and associated tracking elements.
  • Delivery & Execution: track daily progress of project workstreams, help ensure team members meet milestones, prepare progress reports.
  • Resource & Financial Management: track project spending against budget, compare actuals to forecasts, coordinate resources with stakeholders to ensure task completion.
  • Stakeholder & Team Communication: coordinate between project members and vendors or subcontractors, distribute progress updates to stakeholders, manage and distribute meeting minutes, track and communicate action items, facilitate communication among team members and stakeholders.
  • Risk & Change Management: conduct basic risk monitoring to identify financial, schedule, or technical variance from plan and alert project leadership to potential impacts.
Required Skills and Attributes
  • Bachelor’s degree.
  • 2+ years of professional experience in project administration or a similar area, or an advanced degree (MBA or Master’s) in project management.
  • Strong communication skills, proficient at active listening and conveying status updates to various stakeholders, and able to interface effectively between technical staff and project leadership.
  • Experience maintaining a project schedule, proficient with project management software, and tracking technical deliverables and managing project artifacts.
  • Experience leading project‑related meetings and tracking work from others.
  • Experience identifying potential bottlenecks and other risks in project schedules.
  • Strong organization skills, note taking, and following up on actions.
  • Proficiency in MS Project, MS Excel, and MS PowerPoint.
  • Ability to work proactively and adapt in a cross‑functional, fast‑paced environment.
Preferred Skills and Attributes
  • Experience supporting project management in a technical or research & development environment.
  • Prior experience supporting DoD or acquisition projects.
  • Experience working in a dynamic, multidisciplinary engineering environment.
  • Professional certification: CAPM, DWAIA, or similar.
  • Experience in technical writing, system documentation & supporting new business proposals/bids.
  • Familiarity with engineering development, lifecycles and documentation standards.
  • Understanding of broader system integration, verification, and test planning processes.
  • Ability to manage multiple tasks and dynamically balance shifting priorities.
  • Detail oriented with the ability to prioritize and organize daily schedules.
  • Experience in Dynamics 365 Project Service Automation or Project Operations.

Pawcatuck, CT | Groton, CT | Concord, MA. Candidates must possess or be able to obtain a DoD security clearance. Obtaining a security clearance requires US citizenship and a thorough background investigation.
