The Project Coordinator, under the direction of the Office of the Provost, provides administrative, analytical, research, budgetary, digital, and project coordination support for strategic and operational priorities across the Office of the Provost.


The position primarily supports the Office of the Provost, with assigned responsibilities supporting the Office of Budget and Fiscal Affairs, Office of Academic Affairs, and Academic Administration & Operations (AAO). This is a temporary position with a duration of one year.


Office of the Provost, Project Coordination, and Administrative Support


  • Assists with the planning, coordination, implementation, monitoring, and evaluation of projects, programs, strategic initiatives, and administrative priorities for the Office of the Provost.

  • Develops and maintains project timelines, work plans, milestones, deliverables, action-item logs, process flows, tracking systems, and status reports to support timely completion of projects and initiatives.

  • Conducts research and performs basic statistical, comparative, and trend analyses of institutional, academic, budgetary, operational, and other relevant information to identify trends, issues, opportunities, and areas requiring further review.

  • Develops and maintains spreadsheets, databases, dashboards, charts, tables, and other analytical resources to monitor projects, academic activities, operational performance, and institutional priorities.

  • Reviews data and supporting documentation for completeness, accuracy, consistency, and reliability; identifies discrepancies and issues requiring additional review.

  • Compiles and synthesizes information from multiple sources and prepares executive summaries, briefing materials, analytical reports, presentations, correspondence, and other materials for the Provost and academic leadership.

  • Supports strategic planning and implementation by documenting processes, developing workflows, tracking deliverables, monitoring progress, and preparing status reports.

  • Develops and maintains databases, information systems, project files, records, and supporting documentation in accordance with University policies and records-management requirements.

  • Assists with the development, organization, maintenance, and updating of Office of the Provost webpages, website content, navigation, digital resources, and online materials.

  • Supports the organization and maintenance of electronic information, collaborative workspaces, project resources, and documentation within SharePoint and other approved digital platforms.

  • Coordinates and supports cross-functional projects involving Academic Affairs, Academic Administration & Operations, Faculty Affairs, Budget and Fiscal Affairs, colleges and schools, and other University units.

  • Assists with meetings, special events, workshops, presentations, and other activities sponsored or supported by the Office of the Provost.

  • Performs analytical, research, administrative, digital, and special-project duties as assigned.


Academic Administration & Operations and Academic Integrity Review Board (AIRB)


  • Provides administrative, analytical, and project coordination support to Academic Administration & Operations to promote continuity, efficiency, and timely completion of projects and administrative responsibilities.

  • Serves as a member of the Academic Integrity Review Board (AIRB) in accordance with applicable University policies and bylaws.

  • Provides administrative and operational support for AIRB activities, including preparing materials, maintaining documentation, tracking cases and timelines, monitoring required actions, and completing follow-up activities.

  • Maintains the AIRB database and associated Maxient case records, ensuring information is accurate, current, organized, confidential, and maintained in accordance with applicable policies.

  • Assists with monitoring academic integrity cases, required documentation, timelines, and actions and provides status information to authorized personnel.

  • Assists with developing, coordinating, and maintaining educational materials and resources related to academic integrity and responsible academic conduct.


Academic Affairs


  • Provides administrative, analytical, research, and project coordination support for Academic Affairs initiatives, including academic projects, programs, committees, meetings, workshops, and special initiatives.

  • Supports the development and implementation of academic initiatives aligned with University strategic priorities.

  • Collects, organizes, validates, and analyzes academic and administrative information for reports, assessments, presentations, and decision-making.

  • Prepares briefing documents, executive summaries, reports, presentations, correspondence, and other materials for academic leadership.

  • Supports academic program review, accreditation, assessment, faculty initiatives, strategic planning, and other Academic Affairs projects.

  • Tracks deadlines, deliverables, required submissions, decisions, and follow-up activities associated with Academic Affairs initiatives.

  • Researches higher education policies, regulations, academic practices, peer institutions, and emerging trends in support of assigned projects.

  • Maintains accurate records and documentation related to academic programs, committees, projects, and administrative processes.


Budget and Fiscal Activities


  • Provides administrative, analytical, and project coordination support for budget and fiscal activities.

  • Assists with the preparation, organization, maintenance, and analysis of budget documents, reports, spreadsheets, and supporting materials.

  • Monitors budgets, expenditures, commitments, transfers, and available balances and assists with reconciliations and identification of discrepancies.

  • Reviews budget-related transactions and documentation for completeness, accuracy, and consistency with University policies and procedures.

  • Assists with preparing and processing budget transfers, requisitions, purchase orders, vouchers, and other financial documentation.

  • Maintains budget tracking tools and supporting records.

  • Performs other duties as assigned.


Required Education and Experience


  • Bachelor’s degree in an applicable field.

  • Three years of related experience in project coordination/administration.


Required Knowledge, Skills and Abilities


  • Knowledge of word processing and spreadsheet application.

  • Knowledge of standard proofreading.

  • Ability to multitask and work cooperatively with others.

  • Ability to prioritize, manage multiple projects, and meet deadlines.


Preferred Qualifications


  • Master’s degree from an accredited college or university in higher education, education, business administration, public administration, public policy, social sciences, data analytics, organizational leadership, or a related field.

  • Professional, graduate assistantship, internship, fellowship, research, or comparable experience involving project coordination, research, data analysis, academic administration, budget administration, or organizational operations.

  • Experience working in a college or university, government, nonprofit, or similarly complex organizational environment, with knowledge of higher education administration, academic programs, policies, assessment, accreditation, academic integrity, and administrative processes.

  • Knowledge of project coordination, program administration, research methodology, data collection and analysis, information and records management, process improvement, workflow development, and basic budget administration.

  • Experience collecting, organizing, validating, analyzing, and presenting information, including developing reports, dashboards, presentations, tracking tools, databases, or other analytical resources.

  • Experience using Microsoft Office applications, particularly Excel, Word, PowerPoint, and Outlook, as well as databases, data visualization, project-management applications, SharePoint, websites, or other digital collaboration and information-management platforms.

  • Strong professional writing, verbal communication, analytical, organizational, and interpersonal skills, with the ability to synthesize information, identify issues, maintain accuracy and confidentiality, and communicate findings effectively.

  • Ability to interpret and apply policies and procedures, manage multiple priorities, collaborate across academic and administrative units, support process improvements, adapt to changing priorities, and learn new technologies and administrative systems.
