Job description

Summary:

The Project Coordinator, Development will support the Development team by focusing on administrative operations, budget management, project cost control, accounting coordination, and document control across multiple real estate development projects. This position is integral to maintaining financial oversight, ensuring accurate reporting, and facilitating efficient workflows using the project management tool e-Builder.

The ideal candidate is detail-oriented, highly organized, and comfortable working in a fast-paced environment with multiple stakeholders. This role is focused on coordination, project administration, cost tracking, and process management.

Key Responsibilities:

Budget & Project Accounting:

  1. Utilize e-Builder software to interface with project accounting and cost control teams.
  2. Assist with maintaining detailed Project Development Budgets, tracking all approved costs, contingencies, and actuals.
  3. Process and track invoices, payment applications, change orders, and requisitions, ensuring timely submission and approval.
  4. Facilitate the execution of consultant and vendor contracts and maintain a log of financial commitments and expenditures.
  5. Reconcile monthly budget reports with internal accounting and finance systems.

Administrative Support & Document Management:

  1. Maintain comprehensive project files, including budgets, contracts, payment records, insurance certificates, and key development documents.
  2. Implement and manage protocols for document control, version tracking, and internal documentation standards.
  3. Record and distribute meeting minutes, maintain project logs, and track action items to ensure timely follow-ups.
  4. Coordinate logistics, schedule internal meetings, and support communication between internal departments.

Reporting & Systems Management:

  1. Prepare and distribute monthly project status reports for external and internal stakeholders.
  2. Develop Excel-based financial tracking tools and dashboards to support decision-making and performance analysis.
  3. Create summaries and visualizations of budget status, invoice aging, and funding allocations.

Qualifications:

Skills & Tools:

  1. Experience with project management and cost control software is preferred.
  2. Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook) is required.
  3. Familiarity with budgeting, project accounting, and real estate finance processes.
  4. Strong attention to detail, organizational skills, and ability to prioritize tasks across multiple projects.
  5. Ability to interpret and analyze financial data and assist in developing actionable recommendations.
  6. Excellent communication and interpersonal skills for cross-functional coordination.

Education & Experience:

  1. Bachelor’s degree is required, preferably in accounting, finance, real estate, or a related field.
  2. 1–3 years of experience in real estate development, project coordination, project accounting, or administrative support in a professional services or real estate setting.
  3. Experience with using E-Builder or similar budget/project management software is preferred.

The salary range and/or hourly rate listed is a good faith determination of potential base compensation that may be offered to a successful applicant for this position at the time of this job advertisement and may be modified in the future. Pay Range

$75,000 - $85,000 USD
