Job summary

Applied Information Group in San Francisco seeks a project coordinator to bridge client strategy and studio output. You will manage end-to-end delivery, maintain roadmaps, and balance commercial and creative demands with mentorship from senior leaders.

You will oversee budgets, revenue forecasting, and proactive communication with clients and internal teams to ensure high-quality outcomes and long-term partnerships.

From our offices in London, San Francisco, Vancouver and Seoul, we design signs, maps, screens and digital applications and produce everything needed from brand guidelines to industrial design specifications, and governance strategies to smartphone apps.

About the role

Working at Applied means operating in a fast-paced environment where you will be the commercial bridge between our client’s strategic goals and our studio’s creative output.

You are ready to step up and act as the anchor for your accounts, responsible for both commercial success and operational delivery. You will balance proactive client relationship management with the meticulous governance required to keep projects on track, maintaining roadmaps, tracking budgets, and ensuring clear internal and external communication. Benefitting from mentorship and guidance from the Commercial Director, supported by our Project Leads and Creative Directors, you will help us deliver amazing work, create satisfied and long-lasting clients and bring high-value profitability as we grow.

Key tasks
  • own the project lifecycle: end-to-end delivery of client projects. Alongside the project lead and creative director, ensure your projects meet our standards for quality, efficiency and budget
  • govern project health: ensure commercial visibility through proactive roadmap tracking, budget management, and clear internal/external communication
  • cultivate client partnerships: alongside the creative director and project lead, act as an anchor for your clients, building trust that enables Applied to navigate project detours and anticipate future needs
  • cultivate commercial growth: translate client insights into tangible account expansion and profitable new scopes of work
  • maintain financial control: ensure the commercial pulse of your accounts remains healthy through diligent revenue forecasting and transparent budget reporting
Responsibilities
  • project management and delivery: lead the day-to-day project management across multiple workstreams. You will be responsible for orchestrating internal teams, maintaining project dashboards, and keeping the project roadmap on track to ensure all milestones and deadlines are met
  • account ownership: you understand the importance of developing a strong end-to-end client relationship on your accounts. From onboarding to project completion, you will work with the Project Lead and Creative Director to ensure a consistently high level of service, while collaborating on opportunities to deepen client partnerships
  • commercial operations and financials: oversee the commercial health of your accounts through rigorous budget tracking, revenue forecasting, and subcontractor coordination. Coordinate with the business to communicate project revenue forecasts, performance reports, working with our finance team to issue invoices
  • business development support: you support the development of new scopes for your client accounts and collaborate closely with the Business Development team on proposals and prospecting. This can include, but not be limited to, contributing to market research and analysis, representing the company at industry events and conferences, and participating in speculative client meetings
Requirements

Project management experience in a commercial environment: three-five years of experience in an account-facing or delivery management role within a design, engineering, architectural, or creative consultancy. This is an ideal step-up opportunity for a Project Manager looking to take ownership of project commercials, revenue forecasting, and project governance.

Operational systems: you take pride in developing and maintaining project roadmaps (Gantt charts), defining milestones with cross-functional team members, tracking progress, issuing precise meeting minutes, and managing risk logs. You view these tasks as the bedrock of client trust

Commercial acumen: proven ability to manage account budgets, forecast revenue, and identify opportunities for scope growth. You have experience owning the financial details of an account and reporting on it to leadership.

Strategic client partnership: a track record of managing client expectations, anticipating their needs, and navigating project risks and detours with confidence.

Communication: proven ability to maintain clear communication between clients, team members, and business support teams. You know how to distill complex information into clear, understandable and actionable formats

Collaborative, creative drive: a proactive, problem-solving mindset. You take ownership and have experience working with colleagues and clients to identify creative solutions to problems when they arise.

Tools: you are proficient in Google's G-Suite, Excel, project management software (ClickUp or equivalent,) CRMs, and video conferencing.

Desirable skills
  • wayfinding experience: experience in wayfinding, spatial design, active travel or related fields
  • industry expertise: passionate about innovation in project management, and a proactive attitude sharing these insights to elevate the team’s collective expertise
  • social and environmental: actively uphold our commitments to integrating social and environmental improvements into our daily project operations
  • professional representation: serve as a credible ambassador for the company, consistently representing our studio’s values and expertise with professionalism in all client and public-facing scenarios
  • global experience: experience working with a globally dispersed team
