Job summary

ECOLAB in Plano, TX is seeking a Project Coordinator to support large capital projects, coordinating across PMs, engineering, procurement, and construction teams to ensure on-time delivery.

The role emphasizes organization, documentation, and use of AI-enabled tools to enhance meeting summaries, action-tracking, and project reporting; travel may be required.

Qualifications

  • Associate's or Bachelor's degree in Business, Engineering, Construction Management, Project Management, or related field.
  • Minimum of two (2) years of experience in project coordination or related role.
  • Strong organizational, planning, and time-management skills with attention to detail.
  • Excellent verbal and written communication skills.
  • Proficiency with Microsoft Office 365 (Excel, Word, Outlook, Teams, Project, and SharePoint).
  • Working knowledge of project management processes including scheduling, budgeting, procurement, submittals, and document control.
  • Ability to coordinate with project managers, engineers, vendors, subcontractors, and clients.
  • Strong problem-solving and proactive, customer-focused mindset.
  • Experience using AI-enabled productivity tools for meeting summaries, action-item tracking, and reporting.

Responsibilities

  • Support Project Managers in planning, coordination, and execution of large capital projects.
  • Monitor activities to ensure deliverables and milestones are on schedule.
  • Maintain schedules, action-item logs, decision logs, risk registers, and trackers.
  • Coordinate submittals, reviews, approvals, and distribution through completion.
  • Maintain project documentation and document-control processes.
  • Coordinate with vendors on quotations, POs, delivery schedules, and required documentation.
  • Support procurement and logistics for timely delivery of materials and services.
  • Assist with project budgeting, cost tracking, forecasting, and financial reporting.
  • Prepare project status reports, agendas, minutes, and follow-up communications.
  • Facilitate communication among stakeholders and provide project administration support.
  • Assist with commissioning, startup, and construction-related activities.
  • Contribute to continuous improvement and best practices.

Job description

As a Project Coordinator, you will play a key role in the successful execution of large-scale capital projects by providing project coordination, administrative, and operational support throughout the project lifecycle. Working closely with Project Managers and cross-functional stakeholders, you will help maintain project organization, support project execution, and contribute to the timely delivery of project objectives.

What You Will Do
  • Support Project Managers in the planning, coordination, and execution of large capital projects

  • Support procurement and logistics activities to help ensure timely delivery of materials and services
  • Assist with project budget management, cost tracking, forecasting, and financial reporting
  • Prepare project status reports, progress updates, meeting agendas, meeting minutes, and follow-up communications
  • Facilitate communication among project stakeholders and provide project administration support throughout the project lifecycle
  • Assist with commissioning, startup, and construction-related activities as required
  • Support continuous improvement initiatives and contribute to project best practices
Position Details
  • On Site: Plano, TX
  • Occasional travel may be required to support project meetings, client engagements, vendor coordination, construction activities, commissioning efforts, and other project-related requirements
  • Travel frequency will vary based on project location, complexity, and business needs
Minimum Qualifications
  • Associate's or Bachelor's degree in Business, Engineering, Construction Management, Project Management, or a related field, or an equivalent combination of education and relevant experience
  • Minimum of two (2) years of experience in project coordination, project administration, procurement support, document control, construction administration, or a related project support role
  • Strong organizational, planning, and time-management skills with exceptional attention to detail
  • Excellent verbal and written communication skills
  • Proven ability to manage multiple priorities, coordinate competing deadlines, and drive action items to closure
  • Proficiency with Microsoft Office 365 applications, including Excel, Word, Outlook, Teams, Project, and SharePoint
  • Working knowledge of project management processes, including scheduling, budgeting, procurement, submittals, and document control
  • Ability to establish effective working relationships with project managers, engineers, vendors, subcontractors, and clients
  • Strong problem-solving skills and a proactive, customer-focused mindset
  • Demonstrated ability to effectively utilize AI-enabled productivity tools such as Microsoft Copilot or similar platforms to improve efficiency and project execution
  • Experience leveraging AI tools for meeting summaries, action-item tracking, project reporting, document review, data analysis, and project communications
Preferred Qualifications
  • Experience supporting industrial, manufacturing, water/wastewater, semiconductor, construction, EPC, or infrastructure projects
  • Project management coursework, training, or certifications (e.g., CAPM, PMP, or equivalent) are considered an asset

Annual or Hourly Compensation Range:

The pay for this position is $70,000-$80,000 Many factors are taken into consideration when determining compensation, such as experience, education, training, geography, etc. We comply with all minimum wage and overtime laws.
