Project Coordinator

Pool Professionals Ohio, LLC - Pataskala, OH

Full-Time | Monday-Friday | In-Office with Regular Jobsite Visits

Pay: $55,000-$75,000 per year, based on experience

Pool Professionals Ohio, LLC designs and builds custom vinyl-lined and fiberglass inground pools and outdoor living spaces for homeowners across central Ohio. We are looking for an organized, customer-focused Project Coordinator to keep our projects moving – from signed contract to the day the customer swims.

About the Role

The Project Coordinator is the Project Manager’s right hand and the customer’s day-to-day point of contact. You will handle the customer care and project administration that keep our build crews productive: permits, material orders and deliveries, change orders, invoicing, documentation, and closeout. You will work directly with our Project Manager and alongside our Superintendent, splitting your time between the office and regular visits to active jobsites.

What You’ll Do

• Customer care: Serve as the customer’s main contact from contract through turnover. Guide customers through liner pattern or fiberglass shell color and finish selections, provide proactive updates, and answer routine questions the same business day.
• Permits and inspections: Prepare and file permit applications, coordinate HOA approvals and Ohio811 utility locates, track approvals, and schedule inspections.
• Materials and deliveries: Build material lists and purchase orders, confirm every delivery with the vendor the day before, and verify deliveries against the order on site. Document and resolve shortages or damage.
• Scheduling: Load materials, deliveries, permits, inspections, and subcontractors onto the Project Manager’s master schedule and keep those dates current.
• Change orders: Document field and customer changes, prepare change order drafts and pricing support, and follow up until they are signed.
• Invoicing: Track billing milestones, prepare progress and final invoices, follow up on payments, and reconcile vendor bills to purchase orders.
• Jobsite visits: Visit active jobs regularly to verify materials, document progress with photos, and confirm readiness for the next phase.
• Closeout: Track punch lists, coordinate startup and pool school with our service department, schedule final walkthroughs, and complete closeout records.
• Documentation: Keep every project current in JobTread, our construction management software.

What We’re Looking For

• 2+ years of experience in construction project coordination, construction administration, permitting, purchasing, or customer service in a construction environment preferred.
• Strong communication and customer service skills.
• Highly organized, detail-oriented, and able to manage many active projects at once.
• Working knowledge of construction sequencing; able to read plans, material lists, and specifications.
• Familiarity with progress billing, change orders, and job costing. QuickBooks Online experience a plus.
• Comfortable with Microsoft Office, Google Workspace, and construction management software. JobTread experience a plus.
• Experience in construction, landscape/hardscape, or the pool industry preferred.
• Valid driver’s license with an acceptable driving record.
• Able to lift up to 50 lbs., walk uneven jobsites, and work outdoors in varying weather.

• Annual salary of $55,000-$75,000, based on experience.
