Role Description
We are looking for a full-time, on-site Project Support Coordinator at Fassmer Service America LLC in the Miami-Fort Lauderdale area. The Project Support Coordinator will work closely with the Technical Director, Office Manager, and Project Managers to facilitate the deployment of Fassmer Service America personnel across the Offshore/Commercial and Cruise industries.
Main responsibilities include the following:
- Coordination – preparing travel, parts, & communicating logistical needs
- Effective communication – 24/7 with FSA personnel & customers
- Daily administrative assistance – emails, scheduling, forecasting jobs
Qualifications
- Strong skills in project support and coordination
- Analytical abilities for effective problem-solving and decision-making
- Excellent written and verbal communication skills
- High attention to detail and strong organizational skills
- Ability to prioritize tasks and work under pressure
- Experience in a similar role within the marine industry is a plus
- Bachelor’s degree in Project Management, Business Administration, or a related field preferred
Communication & Administrative Support
- Preparing service quotations with the assistance of the project managers
- Answer phones and respond promptly to emails.
- Book travel arrangements for FSA employees and manage on‑call travel‑related matters (this includes non‑business hours due to global travel & time zone changes).
- Maintain travel document records (forms), including passports, visas, and insurance.
- Communicate with clients and agents to understand travel restrictions and requirements before project commencement.
- Coordinate with agents regarding vessel movements.
Documentation & Logistics
- Assist the Project Manager with logistics and procurement requests.
Professional Standards
- Adhere to Fassmer Service America’s high-quality standards.
- Maintain a polite and professional demeanor at all times; negative correspondence from customers or colleagues may lead to termination.
Requirements
- Must live and or relocate to South Florida.
- Energetic personality with strong organizational skills.
- Excellent written and verbal communication abilities.
- Availability to work on holidays as needed in the maritime industry.
- Willingness to learn and navigate various travel websites used by Fassmer Service America.
- Bachelor’s degree in Project Management, Business Administration, or a related field preferred.
- 1-3 years of relevant experience desired.
- Proficient in Microsoft Word, Excel, PowerPoint, Outlook, and QuickBooks.
- Must pass a drug test; Fassmer maintains a drug‑free workplace with random testing.
