Job summary

Rainbow Restoration is seeking an organized admin to support office operations and dispatch in Chapin, SC. You will handle calls, coordinate scheduling, and maintain customer and job records with attention to detail.

You’ll use restoration software and systems to build jobs, track progress, and ensure quality service. A proactive, team-oriented mindset and a clean driving record are valued in this role.

Qualifications

• Excellent communication with customers, adjusters and colleagues.

• Experience in restoration industry preferred.
• Valid driver’s license and clean driving record.

Responsibilities

• Communicate professionally with adjusters, customers, and colleagues.
• Serve as main liaison between customer calls and business correspondence.
• Answer all incoming calls professionally and courteously.
• Create incoming jobs in operation systems for dispatch.
• Assist in scheduling services for operations.
• Notify customers of service call status and scope of work.
• Monitor quality assurance throughout the job.
• Maintain effective schedule to ensure timely service delivery.
• Review job site photos and enter daily notes and equipment logs.
• Write estimates in restoration software.
• Track supply depletion and maintain ready materials.
• Maintain accurate job documentation and electronic notes.
• Perform field work during larger losses as needed.

You’ll ensure that the daily office operations function smoothly and that the highest quality customer service is delivered. And most importantly with all team members at Rainbow Restoration, you’ll help people when they need it most!Duties and Responsibilities:•Communicate professionally with adjusters, customers, and colleagues•Serve as main liaison between customer phone calls and other business correspondence•Answer all incoming calls in a professional and courteous manner•Build incoming jobs in operation systems timely with accurate information for dispatch services•Assist in scheduling services for operations•Notify customers of service call status, the scope of work, necessary paperwork, and track quality assurance throughout the job itself.•Establish and maintain an effective schedule to ensure services are provided in a timely manner.• Review job site photos, enter in daily notes, log daily work and equipment• Write estimates in restoration software's• Track supply depletion in office to secure all materials are readily available•Have a clear understanding and maintain job documentation to guarantee accurate and complete files and electronic notes•Perform other duties as needed including field work during larger lossesRequirements & Skills:•Ability to multi-task and operate in multiple systems simultaneously• Experience in restoration industry preferred• Experience with systems such as SmartQ, Xactanalysis, Xactimate, MICA, Symbility, Nextgear preferred•Excellent communication skills - in person, over the phone, and nonverbal•Detail Oriented•A self starter.
