Job summary

Tufts University’s Office of the Vice Provost for Research (OVPR) seeks a Project Coordinator to support OVPR initiatives through project coordination, communications, event support, website administration, and collaboration with faculty, staff, and university leadership. The role is based on Tufts’ Boston campus and follows a hybrid schedule; on-campus work is required at least three days per week.

Qualifications

Responsibilities

  • Produce and maintain project documents, reports, and presentations.
  • Serve as a point of contact for inquiries and provide accurate information about OVPR programs.
  • Organize and maintain project files, databases, and records.
  • Monitor timelines, track deliverables, and update information collection forms.
  • Assist with budget monitoring, financial transactions, and reporting.
  • Coordinate logistics for meetings, seminars, workshops, conferences, and events.
  • Support OVPR communications and outreach through website updates, newsletters, and social media.
  • Assist with website content management to keep OVPR resources current and user-friendly.
  • Conduct research and prepare summaries to support initiatives.
  • Plan and coordinate meetings involving OVPR leadership and stakeholders.
  • Support cross-functional projects across schools and units.
  • Provide guidance to student workers and temporary staff.

Overview

The Office of the Vice Provost for Research (OVPR) supports and advances Tufts University's research enterprise by fostering collaboration, innovation, and operational excellence across the university.

The Project Coordinator plays a key role in supporting OVPR initiatives through project coordination, communications, event support, website administration, and collaboration with faculty, staff, and university leadership. The ideal candidate is highly organized, detail-oriented, and proactive, with strong communication skills and the ability to manage multiple priorities in a dynamic environment.

This position is based on Tufts University's Boston campus and follows a hybrid work arrangement. The successful candidate is expected to work on campus at least three (3) days per week, with remote work flexibility in accordance with university and departmental guidelines.

What You'll Do

Reporting to OVPR leadership, the Project Coordinator provides critical administrative, operational, and project support for a variety of research, programmatic, and institutional initiatives. This role works closely with faculty, staff, students, and university partners to coordinate projects, support communications and events, maintain project information and records, and assist with initiatives that advance the university's research mission.

Responsibilities include
  • Produce and maintain a variety of project documents, reports, presentations, correspondence, proposals, and other materials.
  • Serve as a point of contact for faculty, staff, students, and external partners by responding to inquiries and providing accurate information regarding OVPR programs and activities.
  • Organize and maintain project files, databases, records, and tracking systems while ensuring information remains current, accurate, and accessible.
  • Support project planning and administration by monitoring timelines, tracking deliverables, maintaining project-related data, and updating forms or applications used for information collection and reporting.
  • Assist with budget monitoring, financial transactions, expense reconciliation, and preparation of operational and project-related reports.
  • Coordinate and execute logistics for meetings, seminars, workshops, conferences, and special events, including registration management, venue and catering coordination, travel arrangements, speaker support, signage and printed materials, and day-of-event execution.
  • Support OVPR communications and outreach efforts through website content updates, email announcements, newsletters, social media communications, marketing materials, presentation decks, and one-page informational resources.
  • Assist with website content management activities to ensure OVPR web resources remain current, accurate, and user-friendly.
  • Conduct internet and background research, gather information, and prepare summaries and reports to support program initiatives and decision-making.
  • Assist with planning and coordination of meetings, communications, and initiatives involving OVPR leadership, faculty leaders, research administrators, and other university stakeholders.
  • Support cross-functional projects and collaborate with colleagues across schools, departments, and administrative units.
  • Provide guidance and work direction to student workers, temporary staff, or other support personnel as needed.

Basic Requirements
  • Associate's degree and 3+ years of related experience, OR Bachelor's degree and 1+ years of related experience.
  • Related experience may include administrative support, project coordination, communications, event planning, customer service, office operations, internships, student employment, or other roles requiring strong organizational, communication, and stakeholder-facing skills.
  • Demonstrated experience coordinating projects, programs, events, communications, or administrative operations.
  • Strong written and verbal communication skills, including experience drafting professional correspondence, announcements, or informational materials.
  • Excellent organizational skills with the ability to manage multiple competing priorities, deadlines, and logistical details.
  • Experience creating reports, presentations, marketing materials, and professional correspondence.
  • Experience coordinating meetings, events, conferences, or other stakeholder-facing activities.
  • Proficiency with Microsoft Office Suite and database, website, or information management systems.
  • Strong attention to detail and commitment to accuracy.
  • Ability to exercise discretion and professionalism when handling sensitive or confidential information.
  • Ability to work independently while also collaborating effectively within a team environment.
Preferred Qualifications
  • Bachelor's degree.
  • Experience supporting research, higher education, nonprofit, healthcare, or other mission-driven organizations.
  • Experience coordinating conferences, workshops, seminars, stakeholder meetings, or special events.
  • Experience with website content management systems (CMS), such as Drupal or similar platforms.
  • Experience creating digital communications, social media content, newsletters, email campaigns, or marketing materials.
  • Experience using Mailchimp or similar email marketing and communication platforms.
  • Experience tracking budgets, processing financial transactions, or preparing financial reports.
  • Familiarity with graphic design software, or other technologies used to support communications and project work.
  • Ability to synthesize information, conduct research, and prepare summaries for diverse audiences.
Pay Range

Minimum $27.85, Midpoint $33.15, Maximum $38.50

Salary is based on related experience, expertise, and internal equity; generally, new hires can expect pay between the minimum and midpoint of the range.
