Job summary

Tufts University Art Galleries (TUAG) is seeking an organized, proactive Program/Project Coordinator for a limited-term grant-funded role through July 31, 2027. The position will provide advanced support, develop reports, coordinate communications, and manage files and budgets.

The role leads marketing content creation using Canva, InDesign, and Adobe, and coordinates meetings, travel, speakers, and jurying processes. Hybrid on-campus presence is required for most hours.

Qualifications

  • Bachelor's Degree and 1–3 years related office experience are required.
  • Strong knowledge of Microsoft Office suite is essential.
  • Excellent organizational and customer service skills are required.

Responsibilities

Overview

As the home for visual arts at Tufts University, Tufts University Art Galleries (TUAG) creates a dynamic learning space through a responsive program of exhibitions, events, collecting, and scholarship across our two locations-in Medford at the Aidekman Arts Center, and in Boston at SMFA at Tufts.

The University Art Galleries department oversees the exhibition spaces in the Shirley and Alex Aidekman Arts Center on the Medford/Somerville Campus, the galleries at the SMFA at Tufts in Boston, and the Tufts University's Permanent and Public Art Collection. The Galleries produce three to four main exhibitions each semester between the two campus locations alongside 15-20 curricular-driven installations per year.

The Collective Futures Fund is administered by the Tufts University Art Galleries and is a part of the Regional Regranting Program of the Andy Warhol Foundation for the Visual Arts and supported by the Barr Foundation, Wagner Foundation, and an anonymous donor. The Collective Futures Fund is a grant initiative directly supporting visual artists and artist-run activity in the Greater Boston area through grants between $3,000 and $8,000 as an annual program.

What You\'ll Do

This is a limited-term and grant-funded position through July 31, 2027. It may be extended depending on grant funding.

Provides advanced support and coordination for a university Program or Project. Produces a variety of documents, reports and proposals, responds to inquiries and provides detailed information to constituents. Organizes and maintains files and databases; designs and updates applications or other forms for data entry. Leads social media material and posting, outreach and updating website. Participates in development of program or project marketing and communications materials, coordinates logistics for meetings and events including travel and arrangements for speakers and jurying process, provides research assistance, and monitors budgets.

  • Conducts outreach research, gathers information, and aggregates data
  • Organizes outreach partnerships and draft reports on results.
  • Responds to inquiries and provides information to applicants, past grantees, and outreach partners; researches and resolves problems or concerns
  • Organizes and maintains program/project files and databases; designs and updates applications and other forms for data entry. Communicates relevant information to the TUAG staff
  • Monitors budgets and executes financial transactions
  • Tracks program/project spending; reviews budget with manager and makes recommendations for purchases or cost savings
  • May initiate purchase of material and supplies for program/project
  • Creates marketing content for program using Canva, InDesign, and Adobe
  • Coordinates marketing and advertising efforts for program/project
  • Assists in writing, editing and designing applications, flyers and other promotional literature
  • Updates website through regular audits
  • Develops and posts social media material
  • Coordinates logistics for meetings, seminars, lectures, and other special events
  • Assists in planning events including identifying topics, activities, speakers, intended audience, etc.
  • Plans dates, design invitations, determines venue and coordinate production of materials, audio visual, and other set up needs
  • Make travel, payment, and other arrangements for speakers and presenters
  • Provides guidance and work direction to student and temporary workers, and assists in training other support staff

Basic Requirements

Knowledge and experience typically acquired by:

  • Bachelor\'s Degree
  • 1-3 years Related office experience
  • Strong knowledge of Microsoft office suite
  • Excellent organizational and customer service skills
Preferred Qualifications
  • Knowledge of or experience in subject matter
Special Work Schedule Requirements

This is a full-time position at 35 hours per week, and a hybrid position expected to be on campus most of those hours, and for specific events.

Pay Range

Minimum $27.85, Midpoint $33.15, Maximum $38.50

Salary is based on related experience, expertise, and internal equity; generally, new hires can expect pay between the minimum and midpoint of the range.
