Job summary

Qualifications

Responsibilities

  • Process requests and inquiries for information and/or materials.
  • Assist with preparing and submitting grant proposals for continued program funding, including collecting and maintaining data, compiling files with faculty CVs and biosketches, editing text, and mailing proposals to funding agencies.
  • Self-address inquiries about programs and other promotional initiatives.
  • Act as the first contact point and provide excellent customer service, internally and externally.
  • Keep Administrative Leadership informed of any urgencies or irregularities in business operations.
  • Manage calendars, schedule meetings with all organizational levels and external constituencies, and organize travel.
  • Establish and manage a file-keeping system.
  • Order supplies and track inventory.
  • Maintain staff and committee lists; update as mandatory.
  • Handle meeting logistics and agenda preparation, and distribute materials for meetings and conference calls.
  • Communicate regularly with administrative staff and faculty about programmatic initiatives and activities.
  • Support the preparation of presentation materials, reports, and organizational manuals.
  • Provide general administrative support for retreats and other special events as mandatory.

Job Profile Summary

This role focuses on managing operational aspects of ongoing projects from initiation through completion and serves as liaison between project management and planning, project team, and line management. In addition, it focuses on performing the following administration and project management duties: serving as a liaison between the general project management office and the team members engaging in planning, reviewing the status of projects and budgets, managing schedules, preparing status reports, and assessing project issues to develop resolutions that meet productivity, quality, and client satisfaction. The role is a professional contributor that may direct lower‑level professionals or manage processes and programs. The majority of the time is spent overseeing the design, implementation, or delivery of processes, programs, and policies using specialized knowledge and skills typically acquired through advanced education. The position may also be an entry level role that applies broad theoretical knowledge typically obtained through advanced education.

Physical Requirements
  • Must work in a professional office environment with typical office equipment.
  • Mostly sedentary, involving sitting most of the time, but may also involve walking, standing, reaching, ascending/descending stairs, and operating office equipment.
  • Required to speak, hear, communicate, and exchange information.
  • Must be able to see and read computer displays, read fine print, and distinguish letters, numbers, and symbols.
  • Occasionally lift or move up to 25 pounds.

  • Self‑organized, able to function in a fast‑paced environment with a positive, professional attitude, and must prioritize multiple projects and tasks with accuracy and attention to detail.
  • Must gather data, compile information, and prepare reports.
  • Proficient in organizing resources and establishing priorities.
  • Demonstrated ability to maintain confidentiality.
  • Must possess records‑maintenance skills.
  • Must have high‑level interpersonal skills for interacting with faculty, administrators, and staff from diverse backgrounds and levels.
  • Must have excellent verbal and written communication skills.
  • Proficiency with Microsoft Office Suite (Word, Excel, Access, PowerPoint); knowledge of Visio preferred.
  • Must manage multiple competing priorities.
  • Project management skills required.
