The Project Controls Specialist role involves providing analytical and management support for a healthcare facility project at Mayo Clinic's campus in Rochester, MN. The successful candidate will utilize their experience in data analysis, budget planning, problem solving, and research, and will need to manage multiple tasks efficiently in a fast-paced environment.
Financials
- Prepare and report on monthly project revenue, review performance and projection variances with the Regional Controller
- Develop profitability forecasts, review staffing and schedules
- Review consultant contracts and invoices for accuracy
- Assist in managing team workload and produce project status reports
- Facilitate development and management of work plans, budgets, and schedules with Project Managers
- Oversee project invoicing and ensure timely collection of receivables
- Maintain financial records for projects
Communications
- Maintain positive client relations throughout the project
- Prepare complex spreadsheets and database reports
- Coordinate information gathering and research
- Maintain clear communication with clients and internal teams, including documentation
- Explain payment decisions through written correspondence
- Develop high-level graphics for schedule and cost summaries
- Navigate multiple data sources for accurate reporting
Project Team
- Collaborate effectively with team members, fostering a positive environment
- Monitor work progress and ensure adherence to standards and procedures
- Help develop efficient processes while maintaining workflows
Contracts
- Understand contractual obligations and support project leadership in scope management
- Proactively communicate with clients regarding approvals and payables
- Assist in drafting and reviewing contracts and exhibits
- Perform schedule and risk analyses as needed
- Maintain contractual records and reports
- Associate’s degree in Business, Construction Management, or related; Bachelor’s preferred
- At least 8 years of experience in project control activities
- Strong analytical, problem-solving, and communication skills
- Experience with professional service firms is a plus
- Ability to work independently with some ambiguity
- Proficiency in MS Office, MS Project, PowerBI, Deltek Vision; experience with Procore or Primavera 6 is a plus
- Professional attire for client meetings; willingness to travel
