Logic is seeking an organized and systems-savvy Project Coordinator to support the administration of a program for a major utility client in the San Diego area. This role is responsible for managing the end-to-end qualification and testing process for utility designers across multiple disciplines — from exam administration and system access to stakeholder coordination and project documentation.
This is not a traditional project coordination role. The ideal candidate brings strong SharePoint and Smartsheet skills, a compliance-oriented mindset, and comfort managing a structured project with multiple moving parts and stakeholders. The position is primarily remote with occasional onsite visits in the San Diego area as needed.
Key Responsibilities
Project Administration
- Administer the program across various utility design departments and disciplines, maintaining SharePoint databases containing applicant reports, statuses, and performance data.
- Administer applicant design testing across Overhead Electric, Underground Electric, Gas, and Transformer Vault disciplines through online testing platforms (ClassMarker, ProctorFree).
- Manage contractor design system access based on program qualification protocols, ensuring accuracy of qualified designer records and system assignments.
- Manage shared team inboxes for incoming requests, inquiries, and project questions; coordinate responses with team members and stakeholders.
- Schedule and lead regular meeting cadences with team members, contractors, and stakeholders to review project metrics and service levels.
- Build and maintain alliances with internal departments to expand the project and ensure designers receive credit for qualified status across all applicable disciplines.
- Lead revisions and updates to project fact sheets, manuals, process flows, and documentation to prescribed standards.
- Lead ad hoc and routine user training for project participants and new stakeholders.
- Focus on continuous improvement of project processes, tools, and user experience.
Technical & Systems Administration
- Automate technical development, enhancements, and maintenance within Smartsheet and SharePoint environments supporting the project.
- Create and maintain Smartsheet and SharePoint environments including automations, formulas, reports, and visual aids such as graphs and charts.
- Oversee monthly and quarterly audits of all contractor information, system access (ICUE, SAP), and portal data to ensure accuracy and integrity.
- Coordinate exam key updates with Subject Matter Experts when applicable standards require changes; lead exam modifications end to end.
- Identify downstream impacts as system changes are configured; responsible for thorough testing, troubleshooting, and de-bugging prior to and after implementation.
- Oversee written communication of project materials and ensure all documentation is current, accurate, and accessible to internal and external users.
Required Qualifications
- Administers a structured qualification and testing project for utility designers across multiple disciplines (Overhead, Underground, Gas, Transformer Vault) — managing the end-to-end process from exam administration to system access.
- Heavy SharePoint and Smartsheet ownership — maintaining databases, automating workflows, managing contractor portals, and keeping applicant and testing data clean and accurate.
- Serves as the main point of contact for the shared team inbox, stakeholder communications, training, and continuous process improvement across the project.
- Manages system access coordination across testing and utility platforms — ensuring contractors are properly qualified, credentialed, and reflected in the right systems.
- Creates and maintains project documentation — including manuals, process flows, procedure guides, and exam updates in coordination with subject matter experts.
Additional Qualifications
- Associate's degree required; Bachelor's degree preferred in Business Administration, Information Systems, or a related field — or an equivalent combination of education and experience.
- 2+ years of experience in project administration, operations coordination, or a systems-focused administrative role.
- Proficiency in Microsoft 365 (Excel, Word, Outlook, Teams); SharePoint administration experience required.
- Smartsheet experience strongly preferred — including automation, formula building, and reporting.
- Familiarity with online testing platforms, vendor/contractor management systems, or access control workflows a plus.
- SAP or ICUE system experience a plus.
