Job description

Position Summary:

The Project Coordinator supports the planning, coordination, and execution of infrastructure and utilities projects. This role assists Project Managers with organizing project information, tracking schedules and budgets, coordinating field activities, and preparing technical documentation such as reports, proposals, and change orders. The position plays a key role in ensuring projects and contractual operations and maintenance progress efficiently from planning through completion by maintaining accurate records, facilitating communication between teams, and supporting day-to-day logistics.

This role is well suited for someone who is highly organized, detail-oriented, and interested in learning or expanding their knowledge about utilities infrastructure projects such as potable water systems, wastewater systems, stormwater systems, and related field operations.

Key Responsibilities:

  • Support Project Managers and Field Technicians with coordination of infrastructure and utilities projects, including tracking schedules, tasks, and deliverables.
  • Assist with preparation and organization of project documentation such as scopes of work, proposals, change orders, and reports.
  • Coordinate field activities including scheduling site visits, organizing field notes, and compiling photo documentation.
  • Maintain project tracking tools, budgets, and internal documentation to support project progress and reporting.
  • Facilitate communication between project managers, field technicians, contractors, and clients, including tracking action items and meeting notes.
  • Provide general administrative and logistical support to ensure projects progress efficiently from planning through completion.

Required Qualifications:

  • Strong organizational and time‑management skills.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
  • Ability to manage multiple tasks and prioritize effectively in a fast‑paced environment.
  • Strong attention to detail and documentation accuracy.
Preferred Qualifications
  • Experience supporting infrastructure, utilities, engineering, or construction projects.
  • Familiarity with project scheduling tools, project management software, or GIS platforms.
  • Interest in infrastructure systems such as water, wastewater, or stormwater utilities.
