Job Description Summary:

The Project Assistant will provide administrative support to the project management team (may be one or more people) for construction projects or other specified projects or departments.

Remote position with travel to jobsites as needed.


Job Description:

  • This job description reflects management's assignment of essential functions; it does not prescribe or restrict the tasks that may be assigned.
Position Responsibilities and Duties:

  • Arrange job start necessities (Printer, Job Start Kit, OSHA Posters, Tablets, Binders, Signage, etc.)
  • Ensure safety documentation is kept up-to-date and PPE supplies are available.
  • Assist with travel arrangements, planning itineraries, and scheduling meetings. Note: Onsite admin duties may vary based on team preferences regarding personal CC information for travel.
  • Assist with superintendent certification consolidation as needed.
  • Enter SOLV Craft time into Exactime.
  • Help track equipment via Sunscreen.
  • Prepare communication and reports as required.
  • Assist in mobilization and demobilization of jobsite trailers and the site.
  • Code and approve invoices in CMiC.
  • Prepare Contracts and Change Orders and send out via Docusign.
  • Update Contracts and Change Orders in CMiC and file appropriately.
  • Update the Project Directory (SharePoint).
  • Set up new Vendors in CMiC.
  • Maintain Subcontractor compliance in CMiC.
  • If an OCIP Project, complete and track necessary paperwork.
  • Open Draws in Textura.
  • Create Early Payment Releases and Check Payment Requests as needed.
  • Track and process Contract Labor Time Sheets/Invoices.
  • Facilitate setup of credit accounts.
Minimum Skills or Experience Requirements:

  • High School Diploma or equivalent.
  • Two years of project administration experience.
  • Proficient knowledge of Microsoft Office (Word, Excel, Outlook).
  • Attention to detail.
  • Working knowledge of general office procedures and office machines.
  • Effective written and verbal English communication skills, including professional telephone manner.
  • Effective organizational skills.
  • Able to work independently and as part of a team.
  • Computer literate and able to learn new software quickly.
  • Reliability, dependability, and flexibility.

Compensation Range: $23.78 - $29.72

Pay Rate Type: Hourly
