Qualifications

Responsibilities

  • Support scheduling, documentation, project plan updates, reporting, and presentations.
  • Review vendor invoices for accuracy, completeness, and contract compliance.
  • Verify that all required documentation and approvals are included and properly signed.
  • Enter accurate accounting information into SAP and route invoices for approval.
  • Communicate with vendors and internal project teams regarding invoices and project needs.
  • Balance competing priorities while maintaining accuracy in a fast-paced environment.

Project & Program Management Specialist

Location: Onsite for initial training, then fully remote. Candidates must be local to the Southern California area.

Duration: 2-year contract (no conversion)

Pay Range: $25–$30/hr

Hours: 8:00 AM – 4:30 PM

Job Summary: Our client is seeking a Project & Program Management Specialist to provide administrative and project support to Project Managers and project teams. This role combines project coordination — scheduling, documentation, reporting, and communication — with vendor invoice review, ensuring contractual compliance, proper documentation, and accurate processing through SAP. The ideal candidate is detail-oriented, organized, and comfortable managing multiple priorities in a fast-paced environment.

Job Responsibilities: In this role, you will manage and support a variety of projects within the Project Management department. Key responsibilities include:

  • Support Project Managers with scheduling, documentation, project plan updates, reporting, and presentations
  • Review vendor invoices for accuracy, completeness, and compliance with contract terms
  • Verify that all required documentation and approvals are included and properly signed
  • Enter accurate accounting information into SAP and route invoices to the correct approver
  • Communicate with both vendors and internal project teams regarding invoices and project needs
  • Manage multiple priorities while maintaining accuracy and attention to detail in a fast-paced environment

  • Validate completeness and agreement between invoices and contracts
  • Maintain clear, professional verbal and written communication with vendors and project teams
  • Stay focused and accurate while processing high volumes of documentation
  • Balance competing priorities and deadlines without sacrificing accuracy
