Garver’s Kansas City office is seeking a Project Administrator to assist Project Managers with organization, coordination, and communication across our Buildings Team. The role requires strong document handling, invoicing, and meeting coordination to keep projects on track.

The ideal candidate has 1–3 years of clerical experience, a bachelor’s degree or equivalent, and a valid driver’s license. Expect a professional, growth-focused environment in a dynamic engineering firm.

Responsibilities

  • Coordinate and track contracts and related documents with clients and subconsultants.
  • Review, edit, and format technical documents.
  • Distribute and track invoices.
  • Provide Construction Administration support, including submittal coordination.
  • Prepare and format documents in Word and Excel.
  • Draft project correspondence and manage submittals to clients.

Experience in the engineering/construction industry is not required, but organization, communication, and the willingness to learn are essential. The Project Administrator will be responsible for assisting Project Managers across our Buildings Team with organizational tasks, tracking of various efforts, and coordinating/communicating with our Team, our clients, and our partners. Additionally, performs routine administrative tasks, supports team activities, and assists with maintaining an organized and productive work environment. Essential Functions
  • Coordinating and tracking contracts and related documents with our clients and subconsultants
  • Reviewing, editing, and formatting technical documents
  • Invoice distribution and tracking
  • Construction Administration support, including material and shop drawing submittal coordination and tracking
  • Document preparation and formatting in Microsoft Word and Excel
  • Drafting project correspondence
  • Document printing/compiling for submittal to the client and submittal coordination, including distribution
  • Staff travel coordination
  • Staff professional license renewal
  • General administration tasks as directed
  • IT and Real Estate inventories/assistance
  • Set up, host, and clean-up meetings, lunches, and events (meals, venue, AV, etc.)
  • Manage sensitive and confidential information with a high level of discretion
Education and Experience Required
  • Bachelor's degree or equivalent combination of education and relevant administrative experience.
  • 1-3 years of clerical or administrative experience
  • Basic experience in a professional or office environment is a plus
Licenses/Credentials
  • Valid Driver’s License required for employment and to operate company vehicle as needed to perform duties
Preferred Qualifications
  • Basic IT experience
  • Experience in using Microsoft Copilot or AI-enabled productivity tools to improve administrative efficiency preferred.

  • Ability to anticipate needs, identify potential issues, and proactively follow up on commitments.
  • Ability to work on multiple projects, tasks,and with multiple Staff concurrently

  • Ability to follow instructions and work under supervision
