We are seeking a Project Administrative Coordinator for our Atlanta office. This role supports Project Managers and operations personnel with the day‑to‑day administrative, contractual, financial, compliance, and documentation requirements of municipal, utility, and construction projects. This position requires a highly organized, detail-oriented individual who is comfortable working with contracts, specifications, Microsoft Excel, and multiple project-management systems. The ideal candidate can independently research project documents to locate requirements and deadlines rather than relying solely on top-down direction.
Key Responsibilities
- Administrative Support: Provide daily support to Project Managers and operations staff across multiple projects; track due dates and proactively follow up on outstanding items.
- Contract & Compliance Tracking: Review contracts and specifications to identify required submittals, reports, and deadlines; track Certificates of Insurance (COIs) and subcontractor compliance documents.
- Data Management & Reporting: Create and maintain project trackers, logs, and spreadsheets; prepare and reconcile Excel reports using formulas, filters, and PivotTables.
- Billing Support: Assist with pay applications, invoice backup, quantity reconciliation, and subcontractor documentation.
- Document Control: Format, edit, and organize Word and PDF submittals; maintain organized electronic project files with consistent naming conventions and version control.
Required Qualifications
- Technical Skills: Strong working proficiency in Microsoft Excel (formulas, sorting, PivotTables), Word, Outlook, and Adobe Acrobat (editing/combining PDFs).
- Document Comprehension: Ability to read, navigate, and extract information from contracts, specifications, and scopes of work.
- Core Skills: Exceptional attention to detail (dates, quantities, work orders), strong independent research capabilities, and excellent written/verbal communication.
- Education: High school diploma or equivalent required (Associate or Bachelor’s degree in Business, Construction Management, or Accounting is a plus).
Preferred Experience
- 2+ years of administrative or project-coordination experience in construction, utilities, public works, or engineering.
- Experience with construction billing, pay applications, or job-cost documentation.
- Familiarity with project management software (e.g., HeavyJob, Cityworks, Kahua, ArcGIS) is a plus.
