Job summary

Colliers Engineering & Design in Albany, NY is seeking a Project Accountant who will closely support project managers by ensuring accurate and timely invoicing. You will enter and review new projects, confirm contract requirements, and prepare invoices with backup and reports.

The role features a hybrid work setup with a requirement to work three days per week in the Albany office to aid collaboration and client service.

Qualifications

• Bachelor’s Degree in Accounting, Business or Finance.
• Associate’s Degree with relevant experience acceptable.
• 0-2+ years in project billing preferred; A/E/C industry preferred.
• Proficient in Excel and MS Office; BST experience helpful.
• Excellent time management, communication, and attention to detail.

Responsibilities

• Set up new projects and tasks in accounting software.
• Verify project setup for client invoicing and contracts.
• Prepare and draft invoices; collaborate with Project Managers for changes.
• Handle various billing types: time & material, cost plus, lump sum, fixed units.
• Monitor expenses vs labor charges on projects.
• Finalize and submit client invoices; assemble backup as needed.
• Provide reports to help PMs manage project financials.
• Assist collections and respond with info to secure payment.
• Digitally file invoices and backups; perform other accounting tasks.

Overview

Do you love numbers and teamwork? We’re looking for a Project Accountant who’s ready to dive into dynamic projects and keep things running smoothly behind the scenes.The Project Accountant will work closely with project managers to ensure our clients are invoiced accurately and in a timely manner. The role includes entering and reviewing new projects into our accounting software, confirming that the project setup will meet client invoicing and contractual requirements, preparing invoices and submitting to the client, and producing simple reports as requested.

This position offers a hybrid work arrangement; however, candidates must be able to work a minimum of three days per week in our Albany, NY office to support collaboration and business needs.

Responsibilities

• Setup new projects and tasks in our accounting software.
• Verify the setup of projects in BST are in compliance with contract.
• Prepare draft invoices for Project Managers and collaborate with them to make required changes.
• Contract billing may include time & material, cost plus fixed fee, lump sum, and fixed unit terms.
• Monitor/Match expenses charged to projects with the labor charges.
• Finalize and submit invoices to clients which may include preparing additional spreadsheets, forms and/or assembling expense backup.
• Provide requested reports for Project Managers to help them manage the financial health of their projects. (Requests for reports beyond the Project Accountant’s capability will be provided by a more senior staff member).
• Assist the collections department and project managers as needed to revise invoices or provide additional information to clients as needed for payment.
• Digital filing of invoices and backup.
• Perform other accounting tasks as needed.

Qualifications

• Bachelor’s Degree in Accounting, Business, Finance.
• Associate’s Degree + relevant experience.
• 0-2+ years experience in project billing preferred.
• Experience in the Architectural/Engineering/Construction (A/E/C) industry preferred.
• Proficient with Microsoft Office Suite including advanced knowledge in Excel.
• Prior experience with BST or similar accounting software.
• Excellent time management skills with the ability to work under pressure and within deadlines.
• Excellent verbal and written communication skills.
• Strong analytical and mathematical skills.
• Very strong attention to detail.
• Strong organizational skills.
• Strong interpersonal skills and the ability to work well as part of a team.
• Ability to read, write and understand English for purposes of comprehending written job-related communications and verbal instructions and interactions.

Compensation: $22.88 to $30.38 per hour (depending on qualifications)
