Job summary

Proctors Collaborative seeks a Programming Manager to join its Programming team. The Programming Manager works with the VP of Programming, Marketing and Communications to strategize, develop, book, and manage non-Broadway programming across Proctors Collaborative venues.

This full-time, benefits-eligible position requires collaboration across departments, tight calendar management, and strong negotiation skills to maximize opportunities and ensure successful events for the Capital District

Qualifications

  • Bachelor’s degree required or equivalent work-related experience; arts-related field preferred.
  • 3–5 years of experience booking a multi-genre venue, with extensive knowledge of music, performing arts, cultural programming, and arts-driven programming for nonprofit arts organizations.
  • Knowledge of artist agreements, contracts, riders, offers, production advances, settlements, and related booking details; prior settlement experience required.

Responsibilities

Salary Range: $65,000.00 To $75,000.00 Annually

Proctors Collaborative is the Capital District’s leading regional arts organization with performing arts venues in Albany, Schenectady and Saratoga Springs, and education, civic engagement and economic development initiatives throughout the region. We’re changing expectations about how the arts serve a community.

Proctors Collaborative seeks a Programming Manager to join its Programming team. The Programming Manager works directly with the Vice President of Programming, Marketing and Communications to strategize, develop, book, and manage non-Broadway programming across Proctors Collaborative venues. This is a full‑time, benefits eligible position.

ESSENTIAL DUTIES & RESPONSIBILITIES:
  • Book and manage a diverse mix of music, theatre, comedy, dance, family programming, esports, lectures, immersive and multidimensional events across Proctors Collaborative venues, including Proctors MainStage, Proctors GE Theatre, Proctors Key Hall, UPH Great Hall, theRep’s Main Theatre, and theRep’s Studio Theatre.
  • Work with talent agents, artists, promoters, managers, venues, and other industry partners to identify programming opportunities and negotiate appropriate presentation models.
  • Collaborate with the Contract and Rentals Manager, VP of Programming, and the President to balance presented and non‑presented dates on the Collaborative calendar.
  • Build and manage show‑level budgets, offers, monitor expenses and projected revenue, and manage risk across ticketed events.
  • Manage offers, contracts, production advances, settlements, and related booking details through completion in partnership with internal teams.
  • Oversee event settlements
  • Manage and coordinate of programming calendar in collaboration with Programming, Events, and Education departments
  • Ensure timely and accurate delivery of confirmed show information to internal and external stakeholders, including deal points, riders, contacts, and marketing assets, so departments can support on‑sales and event execution.
  • Attend industry meetings and conferences, including but not necessarily limited to TIPCON, IEBA, and APAP, to research touring talent, emerging artists, market trends, and entertainment opportunities.
  • Stay current on entertainment pricing, deal structures, industry trends, and market developments to keep Proctors Collaborative competitive.
  • Partner with the Marketing Department to align entertainment with appropriate marketing strategies, timelines, and ticket sales goals.
  • Participate in cross‑departmental meetings related to calendar planning, marketing strategies, production coordination, and event execution.
  • Provide show coverage locally, regionally, or nationally as needed.
  • Perform other job‑related duties as assigned.
POSITION QUALIFICATIONS:
  • Bachelor’s degree required or equivalent work‑related experience; arts‑related field preferred.
  • 3–5 years of experience booking a multi‑genre venue, with extensive knowledge of music, performing arts, cultural programming, and arts‑driven programming for nonprofit arts organizations.
  • Work with all talent agents, particularly those that represent diverse, artists, promoters, managers, venues, and other industry partners to identify a wide range programming including diverse and equitable opportunities and negotiate appropriate presentation models.
  • Knowledge of and experience with artist agreements, contracts, riders, offers, production advances, settlements, and related booking details; prior settlement experience required.
  • Strong budgeting, risk management, negotiation, strategic planning, and departmental operations skills.
  • Experience coordinating programming calendars, community engagement events, partnerships, and collaborative initiatives across departments.
  • Detail‑oriented and highly organized, with the ability to manage multiple priorities in a fast‑paced environment, work under pressure, set priorities, and meet deadlines.
  • Ability to work both independently and collaboratively with sound judgment and decision‑making in a shared working environment.
  • Exceptional interpersonal, verbal, written, customer service, proofreading, and communication skills.
  • Strong computer skills, including proficiency with Microsoft Office; experience with CRM, project management, and database software required, with Tessitura and Prism preferred.

  • Ability to work collaboratively within a complex, fast‑changing performing arts organization.
  • Availability for regular evenings and weekends, and travel as required.

SALARY RANGE: $65,000-$75,000 Annually
