Job summary

TekPro Support Services, LLC is seeking a Program Support Specialist to support TFHRC operations at the Turner-Fairbank Highway Research Center in McLean, VA. The role focuses on comprehensive program and administrative support, including procurement, travel, records management, and stakeholder coordination.

The incumbent will manage calendars, coordinate meetings and events, prepare briefing materials, and provide documentation support across management systems.

Qualifications

  • High School Diploma is required.
  • Active Public Trust designation is required.
  • Working knowledge of Microsoft Office (Word, Excel, PowerPoint) and Google Workspace.
  • Ability to independently navigate and use Government systems such as E2 Travel, EDMS, PRISM, CASTLE, and Delphi.
  • Strong customer service and professional communication skills.
  • Strong critical thinking, organizational, and prioritization skills.
  • Ability to work independently with minimal oversight and adapt to changing priorities.

Responsibilities

  • Serve as the primary office support contact with responsive customer service and professional interactions.
  • Analyze, troubleshoot, and execute assigned program support tasks with minimal supervision.
  • Manage multiple concurrent assignments and adapt to changing priorities.
  • Prepare and deliver work products that meet project requirements with minimal government edits.
  • Coordinate calendars for designated senior staff and office directors; schedule meetings and events.
  • Coordinate and support special events, logistics, and leadership briefing materials.
  • Search and summarize information for correspondence, reports, and briefing papers.
  • Respond to controlled correspondence with senior staff and subject matter experts.
  • Proofread outgoing correspondence for format, grammar, and supporting documents.
  • Provide records management, data entry, and government property inventory support.
  • Prepare procurement requests, waivers, and closeout memos; manage travel arrangements and itineraries.
  • Identify process improvements and more efficient ways to complete tasks.

Job description

We are TekPro Support Services, LLC (TSS), an 8(a) Certified Alaska Native Company (ANC), and a subsidiary of the Bristol Bay Native Corporation (BBNC). We support several military installations and federal agencies across the nation through consulting and contracting our professional and technical solutions.

We are searching for a Program Support Specialist to support our ongoing mission at the Federal Highway Administration's Turner-Fairbank Highway Research Center (TFHRC) in McLean, VA. This position will provide comprehensive program and administrative support for TFHRC operations, including project and event coordination, records management, procurement, travel, inventory, and stakeholder support. This position is contingent upon contract award.

What You’ll Do:
  • Serve as the primary point of contact for office support, delivering responsive customer service and maintaining professional, courteous interactions with internal and external customers and stakeholders.
  • Apply critical thinking and sound judgment to analyze, troubleshoot, and execute assigned program support tasks independently and effectively.
  • Execute tasks and deliverables with minimal oversight, adapting quickly to changes in priorities, new assignments, or shifting responsibilities.
  • Proactively identify, initiate, and track required assignments to ensure program objectives are achieved.
  • Prepare and deliver high-quality work products that meet project requirements and standards and require minimal Government review or revision.
  • Coordinate, manage, and prioritize multiple concurrent assignments throughout the workday.
  • Manage designated senior staff and office directors' calendars and schedules, coordinating and prioritizing appointments and on-site/off-site meetings.
  • Schedule and coordinate special events, including logistics, stakeholder coordination, and leadership briefing materials.
  • Search for, compile, and summarize information from management systems, files, and other documents for correspondence, reports, and briefing papers.
  • Coordinate with senior staff, office directors, subject matter experts, and other program support specialists to respond to controlled correspondence.
  • Proofread outgoing correspondence for proper format, grammar, spelling, punctuation, content, and required supporting documentation.
  • Respond to general inquiries and follow up on routine correspondence of a non-technical nature on behalf of the office.
  • Coordinate meetings, presentation materials, meeting minutes, and follow-up actions.
  • Provide documentation support, including timekeeping, data entry, database maintenance, file management, and records management.
  • Prepare, submit, route, and monitor procurement requests, purchase waiver approvals, and closeout memos.
  • Coordinate travel arrangements, including hotel and rental car reservations, plane and train tickets, travel advances, travel authorization requests, travel vouchers, and itineraries.
  • Identify and recommend process improvements and more efficient ways to accomplish assigned tasks.
  • Prepare correspondence, reports, records, technical papers, tables, charts, graphs, presentations, and Government forms.
  • Perform specific tasks supporting special projects, TFHRC programs, and RD&T offices as requested.
  • Support project and event management activities, including laboratory tours, special events, stakeholder coordination, and the TRB/FHWA Annual Meeting.
  • Assist with Government property inventory, supply tracking and management, and fleet management activities, including required reporting and coordination with GSA.
What You Bring:

Required:

  • High School Diploma.

Salary Range: $90,000-$92,000 annually.
