Virginia Commonwealth University’s University Student Health Services in Richmond, VA is seeking a Program Support Coordinator (Coordinator HS 1) to provide administrative support to the clinical staff and manage scheduling and records.

The role requires strong medical office skills, bookkeeping basics, and excellent customer service, with a fully onsite, 40-hour work week at the university health service campus.

Qualifications

  • Medical business office skills and experience with patient records are required.
  • Working knowledge of basic bookkeeping.
  • Excellent professional customer service is essential.
  • High School diploma or equivalent and at least two years of business office experience.
  • Demonstrated ability to work respectfully with a diverse population of faculty, staff and students at VCU.

Responsibilities

  • Provide administrative support for clinical services so patients are seen promptly and the clinic operates smoothly.
  • Schedule practitioners using Pyramed software ensuring appointments are scheduled accurately.
  • Maintain a patient appointment system and manage walk-ins.
  • Answer phones, schedule appointments, verify eligibility and register patients.
  • Manage daily clinic schedule and room assignments to ensure proper clinic coverage and organization.
  • Monitor fiscal operations.
  • Organize medical records to ensure completeness and availability of the records.

University Student Health Services is committed to providing an environment which fosters quality health care for our patients. The Patient Rights and Responsibilities outlines aspects of care which patients are entitled to receive during their clinic visits. A copy of the Patient Rights and Responsibilities is posted in the Student Health lobby.

Duties & Responsibilities:

The Program Support Coordinator will provide administrative support to the clinical staff, maintain inventory of the OTC medications and expiration dates. The Coordinator will maintain the schedules of the EHR system and report any scheduling concerns to the Associate Administrative Director.

Typical Duties
  • Provide administrative support for clinical services so that patients are seen promptly and the clinic operates smoothly.
  • Schedule practitioners utilizing Pyramed software ensuring appointments are scheduled accurately.
  • Maintain a patient appointment system and manage walk-ins.
  • Answer phones, schedule appointments, register patients by verifying eligibility and reviewing patientinformationfor completeness and accuracy.
  • Manage daily clinic schedule and room assignments to ensure proper clinic coverage and organization.
  • Monitor fiscal operations.
  • Organize medical records to ensure completeness and availability of the records
Qualifications:

Minimum Qualifications

  • Medical business office skills such as patient and clinician management, medical records management, and fiscal operations are necessary.
  • Working knowledge of basic bookkeeping.
  • Excellent professional customer service is a must.
  • High School diploma or equivalent and at least two years experience in business office experience.
  • Demonstrated ability to work in and foster an environment of respect, professionalism and civility with a population of faculty, staff, and students from all backgrounds and experiences, or a commitment to do so as a staff member at VCU.

Preferred Qualifications

  • Experience in a business office in an ambulatory care setting is preferred.

Salary Range: $40,000 - $43,000
