Job summary

Friends of the Children Austin is seeking a Program Associate to join our team in Austin. This full-time, exempt role supports program administration, data management, and operations to further our youth mentorship mission.

The Program Associate collaborates with the Senior Program Manager and Family Engagement Specialist, coordinates meetings, handles data, and assists with grant reporting and event planning to ensure program success and compliance.

Qualifications

  • Associate or bachelor’s degree preferred (or 4 years of equivalent experience).
  • Three years of administrative support experience (non-profit experience a plus).
  • Experience managing data entry and reporting with high accuracy.
  • Event planning and office management experience preferred.

Responsibilities

  • Independently manage end-to-end process for family emergency support requests.
  • Oversee staff documents and uniforms requests (brochures, forms).
  • Provide data support: analyze, interpret, and report data; maintain enrollment paperwork; update STATS and PIERS.
  • Develop and maintain relationships with community stakeholders to foster partnerships.
  • Plan and execute program meetings, prepare materials, schedule, set up, and follow-up.
  • Coordinate onboarding supplies and administrative preparation.
  • Coordinate program and school selection meetings: scheduling, materials, setup, refreshments.
  • Support relationships with school districts and partner organizations for data access and compliance.
  • Manage receipt and distribution of gift card donations.
  • Plan family engagement events with Senior Program Manager supervision.
  • Support on/offsite programming events, camps, and activities.
  • Maintain media folders and aliases.
  • Handle logistics of program supplies and gift drives.
  • Work with Development to manage youth donations.
  • Work with Literacy Project Manager to maintain library system.
  • Develop seasonal crafts and activities for youth.
  • Replenish snacks and supplies.
  • Evaluate workflows and propose process improvements.
  • Review grant reporting documentation for data integrity and funder follow-up.
