Qualifications

  • High school diploma with four years of progressively responsible secretarial experience.
  • Draft and prepare reports, correspondence, and records using accurate business English.
  • Demonstrate a high skill level in using current office technology, including keyboarding and transcription.
  • Working knowledge of budgeting and bookkeeping practices and procedures.
  • Excellent communication skills to represent policies and procedures to various stakeholders.
  • Work independently and organize work with minimum supervision.
  • Work with a high degree of accuracy and meet deadlines.
  • Keyboarding skills of 60 WPM or as specified for the position.
  • Thorough knowledge of applicable computer software and ability to apply it.
  • Physically perform assigned duties.

Responsibilities

  • Prepares a wide range of documents from draft or general instructions.
  • Compiles, organizes, and maintains program statistical data for reports.
  • Processes purchase orders, expense reimbursements, travel requests, and related requisitions.
  • Performs receptionist tasks and greets visitors; answers routine questions.
  • Sorts and responds to correspondence in various formats (US Mail, courier, email).
  • Prepares and organizes meeting materials, minutes, and agendas; follows up as needed.
  • Coordinates workshop locations, designs brochures, and registers participants.
  • Maintains files, records, and logs on computer and manual systems.
  • Coordinates staff travel needs, including conference registrations and accommodations.
  • Maintains attendance records and supervisor/staff calendars.
  • Oversees office supplies inventory and equipment maintenance.
  • Supports staff with office technology and devices.
  • Collaborates with staff and community through effective communication.
  • Maintains confidentiality for personnel, students, and program information.
  • Serves as key contact for a program or function and liaises with other departments.
  • Compiles data from varied sources and prepares summary reports.
  • Researches files and records as directed or per policy.
  • Monitors expenditures, tracks grants, and performs budgeting and bookkeeping tasks.
  • Initiates recurring reports and standard letters; maintains program records.
  • Performs other duties as assigned.
