Job summary

The Home for Little Wanderers, Inc. in Plymouth, MA is seeking a Program Office Coordinator to provide administrative coordination and support for the Southeast Campus. This role oversees the program’s facility needs and ensures maintenance and safety standards are met.

You will prepare service and census reports, manage bills and timesheets, and coordinate clerical tasks while supporting management team meetings and daily operations.

Qualifications

  • Experience within an office or agency is required.
  • Supervisory experience is preferred.
  • Excellent written and verbal communication skills are essential.
  • Proficiency with Microsoft Office and basic internet tools is expected.

Responsibilities

  • Prepare and deliver service, census, and school lunch forms; enter incident and staff data; manage SSI letters and monthly program reports.
  • Oversee housekeeping and upkeep of the building and grounds to keep the facility clean and safe.
  • Serve as Safety Officer as needed; ensure safety, report incidents, and conduct quarterly fire drills.
  • Maintain and coordinate servicing of program computers, copiers, and fax machines.
  • Process bills, timesheets, petty cash, and reimbursements; handle check requests.
  • Attend Management Team meetings and provide minutes to management staff.

The Southeast Campus program of The Home for Little Wanderers based in Plymouth, MA is seeking a Program Office Coordinator. The person in the role will provide administrative coordination and support to the program, in addition to overseeing the facility's needs and ensure the appropriateness of the maintenance and upkeep of the program.

How You'll Be Making a Difference

When you join The Home for Little Wanderers, you join a team of professionals dedicated to creating better, brighter futures for kids.

  • Complete and deliver service reports, census reports and school lunch forms. Complete the data entry of incident reports, restraint reports, client and staff data/records. Maintain SSI letters and delivery. Generate monthly program reports and manage administrative filing, mailing and copying.
  • Oversee the housekeeping and upkeep of the building and grounds of the program to ensure that the program remains clean and safe.
  • May play the role of Safety Officer at the program. Ensure the safety and security of the program. Report any security incidents to Program AVP and Facilities Manager. Maintain required fire drills quarterly.
  • Maintain program computers, copiers, fax machines. Coordinate servicing when needed.
  • Ensure timely submission of bills and staff timesheets. Complete and manage petty cash request, reimbursement forms, check requests.
  • Attend Management Team meetings. Provide minutes of the meeting to management staff.
