Key Responsibilities

Program Operations & Administration (40%)

  • Serve as the primary administrator for registration software and the noncredit student database.
  • Process all program registrations and payments, ensuring accuracy and efficiency.
  • Manage program calendars, scheduling, and logistics for courses, events, and educational travel experiences.

Customer Engagement & Support (15%)

  • Act as the main point of contact for prospective and current students, faculty, instructors, and community partners.
  • Provide exceptional customer service by responding to inquiries, troubleshooting registration issues, and guiding students through enrollment processes.

Program Development & Marketing (25%)

  • Coordinate creating, editing, and distributing marketing materials, including brochures, mailings, and promotional content.
  • Work with university marketing teams and external vendors to ensure effective program branding and visibility.
  • Maintain and update program websites and communication channels to reflect current offerings.

Technology & Systems Management (20%)

  • Manage registration platforms, student databases, and learning management systems.
  • Implement process improvements to enhance program efficiency and user experience.
  • Train staff, faculty, and students on using program-related technology systems.

Minimum Qualifications

  • Bachelor’s degree OR an associate’s degree with at least five years of relevant professional experience.
  • Three or more years of experience in program coordination, administrative operations, student services, or a related field.
  • Strong communication and customer service skills, with the ability to engage with diverse learners, including older adults and working professionals.
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, and Google Suite) and the ability to quickly learn new software.
  • Ability to multitask, manage priorities, and work independently with minimal supervision.
  • Attention to detail, organizational skills, and ability to meet deadlines.
  • Willingness to work flexible hours, including occasional evenings and weekends (approximately 12 times per year).

Preferred Qualifications

While not everyone may possess all of the preferred qualifications, the ideal candidate will bring many of the following:

  • Master’s degree in education, business, or a related field.
  • Experience in higher education, continuing education, or workforce development programs.
  • Familiarity with learning management and student information systems (e.g., Banner, COGNOS, Runway).
  • Experience working with adult learners, including senior education programs.
  • Knowledge of or experience working in a Catholic, Marianist higher education environment.
