Position Summary: The College of Medicine at Florida Atlantic University is seeking a Program Manager, M1/M2 Clinical Curriculum in Boca Raton, FL. The Program Manager oversees the logistical aspects of the Foundations of Medicine (FOM) clinical curriculum and prepares and implements the FOM courses for each academic year. Work collaboratively with the FOM Course Directors to develop processes to improve efficiency and delivery of curriculum content for medical students and faculty. This role works closely and collaboratively with staff and faculty at all clinical sites as well as the FAU Clinical Skills and Simulation Center. Responsible for coordinating clinical examinations and Institutional Competency Assessment (ICA) Week activities, while providing administrative support to the ICA Directors. This position serves as the administrative supervisor for the Medical Education Specialist, providing resources and training to support assigned duties, while also overseeing their day-to-day activities.

Summary Of Responsibilities
  • Coordinate, develop, and enhance course schedules for the clinical curriculum in collaboration with the FOM Course Directors.
  • Establish priorities, identify action items, and develop timelines while keeping the Directors of the FOM courses informed of the progress on each project.
  • Schedule student and faculty activities and ensure space and teaching resources are available in conjunction with the Office of Medical Education (OME) at FAU.
  • Oversee the curriculum database for all FOM courses, ensuring accurate schedules and timely posting of session materials.
  • Monitor the Medical Education Specialist to ensure proper entry of data into curriculum databases, including the curriculum mapping processes in OwlMed.
  • Ensure all enrollment permissions are accurate and reflective in the scheduling database, including for faculty contribution tracking.
  • Manage all FOM assignments, exams, quizzes, and secure student grades, paperwork, and documents.
  • Coordinate FOMGradingCommittees.
  • Serve as a proctor for exams across all years of the undergraduate medical education curriculum.
  • Work collaboratively with the FOM Course Directors to develop processes to improve efficiency and delivery of curriculum content for medical students and faculty.
  • Organize and implement major transitional events related to the Year1 and 2 clinical curriculum, and coordinate FOM schedules with other course schedules to ensure vertical and horizontal integration within the curriculum.
  • Collaborate with the Office of Program Evaluation and Assessment to coordinate evaluation activities for the clinical curriculum, including ICAs, OSCEs, and other assessments, and distribute results and feedback to faculty, ICA Directors, and FOM Course Directors.
  • Oversee multiple ongoing, multifaceted, and complex projects related to the development of the clinical curriculum and meet crucial deadlines.
  • Provide annual reports as needed for the maintenance of accreditation (LCME).
  • Maintain an operating manual for standard operating procedures.
  • Develop, manage, organize, and ensure accurate records of the Year1 &2 clinical assessments and ICAs.
  • Coordinate and support faculty development activities, orientations, meetings, and related educational materials.
  • Maintain excellent rapport with faculty, community physicians, university personnel, and administrators to ensure smooth functioning of all aspects of assessments.
  • Provide oversight of administrative processes in Workday.
  • Ensure an adequate supply of all resources at all times for Year1 and Year2 clinical courses.

Minimum Qualifications
  • Master's degree from an accredited institution in an appropriate area of specialization; or a bachelor's degree from an accredited institution in an appropriate area of specialization and two years of appropriate experience required. Valid Florida Driver's License required.
Preferred Qualifications
  • Four years of professional, administrative, operational, management, or related/equivalent experience.
  • A master’s degree.
  • Experience in a higher education institution, medical school, or hospital highly desirable.
  • Ability to work collaboratively with all levels of faculty, staff, and students.
  • Exceptional verbal and written communication skills are essential for success in this position.
  • Proficiency in Microsoft Office programs such as Word, Outlook, PowerPoint and Excel.

Salary and Employment Details

Salary: $50,000 - $55,000 Annually.
