Aquent Studios is seeking a dynamic Program Manager to lead patient resource programs within a healthcare-focused team in the United States. You will coordinate cross-functional efforts with marketing, medical, finance, and operations, ensuring compliant, effective patient resources and timely rollouts.

The role involves managing conferences, materials, translations, and vendor partnerships, with a focus on optimizing patient journeys and access to essential support services.

Qualifications

  • Bachelor's degree in a related field or equivalent experience.
  • 5+ years project management in a design studio, internal creative department, agency environment, or cross-functional role managing multimedia communications.
  • 3+ years in the pharmaceutical industry with familiarity with industry terminology and compliance requirements.
  • Proven budgeting/financial tracking for marketing/consumer resources, including forecasting and reconciliation.
  • Experience managing inventory systems or resource-approval systems, including tracking quantities and reapproval processes.
  • Familiarity with fulfillment and logistics management (ordering, shipping, quality checks).
  • Experience coordinating exhibits/events, including global teams and on-site logistics.
  • Vendor management experience from selection to onboarding for patient recruitment and print/digital vendors.
  • Strong verbal and written communications with stakeholders; proficient with Microsoft Office; Veeva PromoMats/Workfront preferred.
  • Knowledge of digital/print production processes and image/data rights.
  • Strong organizational skills and ability to manage multiple projects and changing priorities.

Responsibilities

  • Collaborate with internal teams and vendors to support presentations and expand patient conference efforts.
  • Manage development and maintenance of patient conference resources and measure field utilization and impact.
  • Support patient conference planning, scheduling participation, securing space, and coordinating logistics within budget.
  • Manage resource approval and inventory systems, track quantities, and ensure compliance.
  • Coordinate ordering, fulfillment, and tracking of patient support resources and field training rollout.
  • Lead updates and budget management of consumer resources (translations, broadsheets), including forecasting and approvals.
  • Coordinate digital/print rollouts for patient materials and timing with vendors and field teams.
  • Support patient education resource updates and call guide production and fulfillment.
  • Manage relationships with vendors and agencies (recruitment, print/digital, exhibits).
  • Lead translation creation and budgeting for patient resources; ensure tracking.
  • Track metrics and provide monthly/quarterly reporting to marketing and leadership.
  • Work cross-functionally to ensure compliant use of resources and promotional opportunities.

What You'll Do
  • Collaborate with internal teams, field representatives, patients, and external vendors/agencies to support internal meeting presentations, expand patient conference efforts, promote education, and improve field utilization of resources.
  • Manage the development and maintenance of patient conference resources: define resource needs, drive the creation or adaptation of materials, coordinate field training and rollout, and measure field utilization and impact.
  • Support patient conference planning, working closely with exhibits teams to schedule participation, secure space, align materials and staffing, and coordinate logistics for compliant, seamless execution within budget.
  • Manage resource approval and inventory systems, including tracking approved quantities, initiating and tracking reapproval requests, and ensuring resource availability aligns with field demand and compliance requirements.
  • Partner with internal teams to prepare patient support resources for internal review; coordinate ordering, fulfillment, and tracking; organize field training and resource rollouts; and maintain inventory and distribution records.
  • Lead updates and ongoing budget management of consumer resources (for example, broadsheets, translations), including forecasting, tracking spend against budgets, obtaining approvals, and reconciling expenditures.
  • Support resource updates and reviews, and lead digital/print rollouts for patient support materials, coordinating timelines, approvals, vendors, and field dissemination.
  • Support patient education resource updates and related materials coordination, including call guide production and fulfillment.
  • Manage relationships with vendors and agencies (patient recruitment, exhibits suppliers, print/digital vendors).
  • Lead translation creation and sustainability efforts for patient resource materials and ensure translated resources are tracked and budgeted appropriately.
  • Track resource metrics and field utilization; provide monthly and quarterly reporting and actionable insights to marketing and consumer leadership to inform resource planning and allocation.
  • Work cross-functionally with diverse internal teams (e.g., marketing, medical, legal, finance, operations, communications) and external partners to ensure appropriate use of patient resources and promotional opportunities while maintaining compliance.

Must-Have Qualifications

  • 3+ years in the pharmaceutical industry with familiarity with industry terminology and a high-level understanding of industry compliance requirements.
  • 5+ years project management experience in a design studio, internal creative department, agency environment, or comparable cross-functional role with demonstrated success managing a broad range of multimedia communications in a fast-paced environment.
  • Proven experience in budgeting and financial tracking for marketing/consumer resources, including forecasting, monthly allocations, and reconciliation.
  • Experience managing inventory systems or resource-approval systems, including tracking approved quantities, reapproval processes, and inventory reconciliation.
  • Demonstrated experience in fulfillment and logistics management (ordering, vendor coordination, shipping, quality checks, reconciliation).
  • Experience coordinating exhibits and events, including working with global exhibits teams, securing space, materials alignment, and on-site logistics.
  • Vendor management experience, including selection, contracting, performance monitoring, and onboarding (patient recruitment agencies, print/digital vendors, exhibit suppliers).
  • Strong verbal and written communications and excellent interpersonal skills; demonstrated ability to work collaboratively with project teams and key stakeholders.
  • Proficiency with Microsoft Office; experience with Veeva PromoMats and Workfront PromoPlan preferred.
  • General understanding of digital and print production processes, and image/data rights.
  • Strong organizational skills, attention to detail, and ability to manage multiple quick-turn projects and changing priorities.
Nice-to-Have Qualifications
  • Hands-on experience with supply chain/inventory management tools or similar enterprise systems.
  • Prior experience working with consumer patient support programs.
  • Prior experience managing budgets at the program level and supporting cross-budget allocations across indications.
  • Prior experience supporting patient support program (PSP) agency collaborations for call guide production and fulfillment.
  • Familiarity with regulatory and compliance approval processes for HCP- and patient-facing materials.
